Position: Full-Time or Part-Time Office Administrator
Location: North Palm Beach, Florida [In-Person]
Pay: $18 - 25 per hour
Hours: 32 - 40 hours per week
Are you a detail-oriented professional with an interest in accounting and finance? Smith CPA is seeking a part-time Administrative Assistant to join our team.
Key Responsibilities:
Reception and Communication:
- Greet and assist visitors, clients, and staff.
- Answer and direct phone calls and emails to appropriate parties.
- Manage incoming and outgoing mail and packages.
Data Management:
- Maintain and update electronic and physical filing systems.
- Input and manage data in databases, accounting systems, and spreadsheets.
- Ensure confidentiality and security of sensitive information.
Bookkeeping:
- Assist with data entry into accounting systems, including QuickBooks.
- Reconcile accounts and assist with month-end close processes.
- Generate financial reports and maintain accurate records.
Project Assistance:
- Support various projects and initiatives with administrative tasks.
- Projects may include data entry, marketing, etc.
- Conduct research and gather information as needed for projects.
- Track project timelines and ensure deadlines are met.
Administrative Support:
- Schedule and coordinate meetings, appointments, and travel arrangements.
- Prepare and distribute meeting agendas, minutes, and other documents.
- Maintain and update office policies and procedures.
Marketing:
- Assist with content creation and editing using Canva.
- Help manage and update social media and marketing platforms.
- Coordinate marketing campaigns and track their performance.
- Support the creation of promotional materials and client outreach.
Office Management:
- Order and maintain office supplies and equipment.
- Oversee office cleanliness and organization.
- Coordinate maintenance and repairs of office facilities.
Customer Service:
- Provide excellent customer service to clients and stakeholders.
- Address and resolve customer complaints and issues promptly.
- Answer and direct phone calls and emails to appropriate parties.
- Manage incoming and outgoing mail and packages.
Job Requirements:
- Associate's degree or higher
- Strong attention to detail and communication skills (verbal and written)
- Honesty, integrity, and professionalism
- Knowledge of QuickBooks is a big plus
- Knowledge of Microsoft Excel is a big plus
- Knowledge of Canva is a big plus
