What are the responsibilities and job description for the Bookkeeper/Office Manager position at SMITH LANDSCAPE SERVICES INC?
Duties include but are not limited to the following:
Ø Thoroughly understands and complies with Company policies, procedures, and SOP's.
Ø Prepares management reports as required or requested
Ø Routes payment documents for approval and processing by Supervisor.
Ø Reconciles vendors, suppliers, subcontractor statements on a monthly basis.
Ø Processes all invoices from vendors, suppliers, subcontractors, etc.
Ø Prepares and posts all job costs entries into accounting system.
Ø Complies with and records local, state and federal tax requirements.
Ø Prepares and processes 1099’s for subcontractors at year end.
Ø Oversees and ensures that all bookkeeping tasks are completed on schedule.
Ø Coordinates with CPA to prepare financials and taxes at year end
Ø Coordinates with financial institutions regarding all financial matters (line of credit, financing, credit card processing, etc).
Ø Projects cash flow needs and budgets
Ø Development and implementation of the company’s training goals for their department.
Ø Creates monthly invoicing. Coordinate with Maintenance Supervisor & Landscape Supervisor.
Ø Reconciles all bank accounts.
Ø Updates and reports check register to President on a daily basis.
Ø Keeps track of all regularly scheduled payments i.e. office bills, truck payments, and company line of credit.
Ø Posts all journal entries provided by CPA at year end.
Ø Performs general accounting duties.
Ø Maintains Fixed Asset list up to date.
Ø Prepare bi-weekly payroll to include all labor costs per job.
Ø Prepares 1099’s for all required employees.
Ø Reviews all bids for accuracy and marketability.
Ø Reviews all Contracts and Change orders.
Ø Creates Work-on-Hand Schedules for CPA & Surety.
Ø Finalizes estimates and delivers proposals to appropriate parties.
Ø Assists in the development and implementation of company annual budget goals.
Ø Maintains Proposal Log updated.
Ø Coordinates monthly billing with Production Managers.
Ø Distributes Job-Start up packages to Production Managers.
Ø Coordinates Bid, performance & payments bonds.
Ø Maintains Pre-qualification packages up to date.
Ø Executes Sub-Contract agreements.
Ø Assists Production Managers with Close-Out documents.
Ø Coordinate Sub's Irrigation submittal packages for GC’s at the beginning of a Project.
Ø Orders Notice to Owner for all new Projects.
Ø Provides Value Engineering when requested.
Ø Coordinate and provide information for Insurance yearly audits.
and any other office related duties.
Job Type: Full-time
Pay: $45,000.00 - $52,000.00 per year
