Position Overview
The Program Coordinator plays a critical role in supporting day-to-day operations of projects, ensuring that all program activities are executed in alignment with contractual obligations, schedules, and quality standards. This role is responsible for tracking deliverables, compiling performance reports, and facilitating communication across internal teams, 1099 contractors, and government stakeholders. The Program Coordinator ensures data accuracy in program documentation and reporting while helping maintain transparency and accountability throughout the project lifecycle. This position works under the supervision of the Evaluation and Quality Assurance Director and collaborates closely with Program Managers and Senior Analysts.

Key Responsibilities
Program Operations & Deliverable Tracking
- Maintain and update project schedules, evaluation timelines, and task assignments to ensure alignment with the contracts and Performance Work Statements (PWS).
- Track and monitor contract deliverables to ensure all reports, outputs, and documentation are submitted on time and meet quality standards.
- Support quarterly and on-demand scheduling processes by maintaining inventory reports of courses and occupations approaching evaluation deadlines.
- Compile and submit recurring reports including monthly, quarterly, and ad hoc reports on program status, risks, issues, metrics, and accomplishments.
- Assist in the development of Plans of Action and Milestones (POA&M), transition plans, and risk management documentation.
- Coordinate inputs for Comprehensive Review Reports (CRRs), ensuring consistency across deliverables and adherence to data formatting protocols.
- Facilitate communication and collaboration across internal teams (e.g., analysts, SMEs, technical staff), subcontractors, and government stakeholders.
- Maintain centralized project documentation repositories and ensure version control across work products and deliverables.
- Schedule and support internal and external meetings, briefings, and working group sessions; capture meeting notes and action items.
- Assist in monitoring program performance against Quality Control Plan (QCP) metrics and ensure documentation is audit-ready.
- Support implementation of standard operating procedures (SOPs), document templates, and workflow processes to improve consistency and quality.
- Track feedback and suggestions from internal and external stakeholders and coordinate resolution or escalation as needed.
Required Qualifications:
- U.S. Citizenship required; must be eligible for a Tier 3 (T3) background investigation for Position of Trust.
- Bachelor’s degree in Business Administration, Project Management, Education, or related field.
- 3–5 years of experience supporting federal programs, project coordination, or operations in an education, military, or credentialing context.
- Strong organizational skills and attention to detail with the ability to manage competing priorities.
- Proficiency in Microsoft Office Suite (Excel, Word, PowerPoint) and collaboration tools such as SharePoint, Teams, or similar platforms.
- Excellent written and verbal communication skills.
- Experience supporting DoD contracts or programs, particularly in military training or credentialing.
- Familiarity with reporting tools such as Power BI, Smartsheet, or project management dashboards.
- Understanding of CPL/PLA evaluation processes and familiarity with the Joint Services Transcript (JST) or academic evaluation documentation.
- Experience coordinating across remote, multi-disciplinary teams in a high-paced, deliverable-driven environment.
