Applications are being accepted for an immediate opening at Woodson Elementary for an Adminstrative Associate II. Experience with bookkeeping is preferred.
Summary
Provides administrative clerical and financial support to the Principal of the school.
Essential Duties and Responsibilities include the following : Other duties may be assigned by the Chief Financial Officer or her designee .
- Assists with student enrollment through Power School program as requested.
- Monitors and updates demographic information in PowerSchool as requested.
- Assists students, parents and staff with needed information.
- Monitors student transportation via radio as required.
- Assists with the issue of student report cards and other mailings as requested.
- Serves as school receptionist.
- Collects all monies for school such as field trips and fund raisers.
- Enters data in bank electronic system - ensuring accurate financial records.
- Makes deposits at local bank as required.
- Keeps accurate records of school finances via database and provides monthly and year-end reporting as requested by the Finance office.
- Prepares purchase orders for teacher materials and text books as well as receiving and maintaining school and office supplies.
- Prepares clerical functions for grants, sets up grant budgets, and tracks grant expenditures.
- Performs other general accounting work as requested by the school and central office

Education and / or Experience
High School Diploma with at least three years' experience in a data management position. Prior administrative and accounting experience preferred.
Certificates, Licenses, Registrations
A valid driver's license is required as there is local travel on an occasional basis.
Language Skills
Ability to read and interpret general policies, procedures, instructions and regulations, Ability to write reports and correspondence as directed. Ability to effectively present information and respond to questions from groups of students, administrators, parents and the general public.
Mathematical Skills
Ability to calculate figures and amounts such as discounts, interest and percentages. Ability to apply concepts of basic arithmetic.
Reasoning Ability
Ability to solve practical problems and deal with a variety of concrete variables in situations where only limited standardization exists. Ability to interpret a variety of instructions furnished in written, oral, diagram, or schedule form.
Computer Skills
To perform this job successfully, an individual should have advanced computer skills using spreadsheet, word processing and presentation software, preferably using Microsoft Office products. Knowledge of the Internet and a variety of other software packages is also preferred. Must have good keyboarding and data entry skills. Pursues training and development opportunities to expand job knowledge as requested. The position requires advanced Excel skills.
Other Skills and Abilities
Ability to communicate effectively, both orally and in writing, in a professional manner with a variety of individuals. Must be able to handle confidential material and ensures the confidentiality of issues surrounding students. Must be able to work with minimal supervision and possess strong organizational and time management skills.
Other Qualifications
Must be able to travel to schools within the County and out of town for business meetings as necessary. Must be dependable. Ensures work responsibilities are covered when absent. Arrives to meetings on time.
