The Sonnenalp is searching for a Full-Time Year Round Conference Service Manager with the desired start date of August 19th, 2024. This position will be open until August 19th, 2024 or until will fill the position.
Wage: Salary: $55,000 - $60,000/ per year
- Conference services bonus program - eligible for the conference services monthly bonus program
- 2% on actual food and beverage revenue for conference services produced by the conference services manager. This does not include set fees, coordination fees, etc.
- Potential 10% bonus of salary
Primary Purpose of Position: Responsible for coordination of all group related business generated by the Group Sales Department. Act as major group contact from start to finish of each program to ensure complete guest satisfaction.
Essential Duties and Responsibilities:
- The Conference Services Manager (CSM) is responsible for the servicing of all groups that utilize meeting space at the hotel as well as a monthly F & B budget.
- CSM will act as a liaison between the sales and operations department of the hotel to ensure a successful event for the clients and all of the client's needs are met and communicated accurately and efficiently to all departments of the hotel.
- Assist groups with all Food & Beverage requirements: up selling, recommendations & menu planning. Extensive F&B knowledge is expected.
- Responsible for compiling all Banquet Event Orders and group resumes, banquet checks for each group while at the hotel as well all direct bill and credit approvals of and securing signatures for all Banquet Event Orders.
- Responsible for the review of all bills that are sent to the client and accounting in an accurate and timely
- Schedule group recreational activities; including restaurant reservations, golf, rafting, jeep tours, fly fishing, ballooning, snowmobiling, lift tickets, ski lessons, and to schedule adequate transportation as needed to transport guests to activities and restaurants. Act as a liaison between client and DMCs when applicable.
- Work with the DOCCS to generate a weekly forecast of meeting and catering revenues.
- Coordinate all audiovisual requirements of the client with our 3rd party vendors and ensure that proper equipment is ordered.
- Responsible for group F&B budget
ADDITIONAL GROUP COORDINATOR RESPONSIBILITIES
- The Conference Services Manager will act as the Group Sales coordinator to ensure completion of room lists, rate checks, SMS charge routing and final billing as well as completing rooms portion of group resumes.
- Obtain signed contracts from the Sales Managers and input contracts into SMS and update all information in Delphi.FDC
- Collect deposits from group contacts and follow up on additional deposits
- Ensure group goes over to HMS correctly and make any changes accordingly
- Obtain and monitor rooming list, cut off dates, and handle all cancellation and attrition charges
- Group add/drop report given weekly to DOS and revenue manager
ADDITIONAL RESPONSIBILITIES
- Responsible for selling, contracting and servicing groups, weddings, catering and social functions. This includes rooms and event space.
- Respond to delegated inquiries and leads in a timely manner. In put all inquiries into Delphi, monitor lost business reports.
- Develop market segments and solicit new customer relationships while maintaining existing relationships. Attend networking events. Assist with marketing materials; sales flyers, videos,
- Department improvements
- Updating banquet menus
- Creating short cuts for menu items and BEO required fields in Delphi
- Proposal templates
- Group and Wedding projection/tracking/end of year spreadsheets
Recommended Skills and Qualifications:
- Bachelor's Degree in Hotel or Business Management, or equivalent experience required.
- English fluency required.
- Must have minimum two (2) years of experience in conference coordination in a hotel of comparable quality.
- Must be knowledgeable of operations in all other areas of the resort, but particularly in kitchen, front office, restaurants, and accounting.
- Must be computer literate.
Typical Working Conditions:
Fast paced position with high level of responsibility for meeting production deadlines. High level of interaction with all hotel departments & clients. Flexibility to work long and varied hours. Typical workday is from 8:30am to 5pm with a half hour lunch break. Working weekends is part of a normal work week and is dependent on type of business in house. Days off may change from week to week. Cover events when requested, which may include evenings, weekends and holidays.
