Job Description/Summary :

The Student Services Coordinator, in this part-time (not to exceed 29.5 hours week), hourly role, will have a strong emphasis on event coordination, including overseeing significant ceremonies such as Graduation and the White Coat Ceremonies. The role will also support various student services functions to ensure the success and well-being of students at Sonoran University. Reporting to the Dean of Students, this position involves planning, coordinating, and executing a variety of student-focused events, as well as supporting both in-person and online students with their academic and personal needs.

  • Maintains a positive work environment by conducting oneself and communicating in a manner that is conducive to promoting an atmosphere of cooperation with students, staff, faculty, and administration.
  • Planning and supporting events: Aids in the project management of events for the Dean of Students Office, such as Commencement Ceremonies, White Coat Ceremonies, and commencement week accompanying events, which will include, but is not limited to:
    • Event Planning & Coordination:
  • Plan and coordinate all aspects of events from initial concept through execution, including Graduation, White Coat Ceremonies, and other key student events.
  • Communicate with students, faculty, staff, and vendors to understand needs for each event and ensure participation and engagement.
  • Manage student communications/tasks via CRM for related events.
  • Recruit, train, and manage volunteers to staff the events.
  • Evaluate rental spaces for special events, providing proposals regarding pricing, setup capabilities, and available amenities.
  • Assist the Student Services Administrator with reviewing contracts with vendors, including venue rentals, live stream services, White Coat ordering and embroidery, and other event-related services.
  • Event Content & Collaboration:
  • Review and edit the ceremony scripts and programs, collaborating with Student Affairs and Academic leadership.
  • Logistics & Event Execution:
  • Organize and prepare binders of day-of materials including scripts, sign in sheets, run sheets, contact sheets.
  • Oversee event logistics, including setup, breakdown, and on-site management, ensuring smooth execution.
  • Ensure all support activities for events (set-up, catering, cleaning, breakdown) run smoothly and without disruption.
  • Budget & Post-Event Evaluation:
  • Report event purchases to the Student Services Administrator, ensuring that all events are executed within the established financial constraints.
  • Conduct post-event evaluations (Post Mortem reflections) to assess success, gather feedback, and make recommendations for future events.
  • Supporting Dean of Students office: Serves as a supporting point of contact for students, staff and faculty for the Dean of Student’s Office and performs a variety of administrative support activities for the Dean of Students including, but not limited to:
    • General Support:
  • Screening incoming DOS correspondences and directing to appropriate staff or departments.
  • Taking detailed notes on sensitive information and managing the documentation.
  • Maintaining and organizing files and sensitive documents both physical and electronic, related to projects and processes required under the office of the Dean of Students.
  • Aid in managing the student portal information for the Dean of Students Office.
  • Medical Equipment:
  • Overseeing and managing the inventory of ND student medical equipment, including ordering of new equipment.
  • Coordinating student pickup of equipment at New Student Orientation
  • Tracking the records of confirmed receipt
  • Managing Inventory
  • Troubleshooting broken equipment
  • ADA Office Support: May provide administrative support to Sonoran University’s Accommodation office including proctoring tests and preparing exam materials for mid terms and finals.
  • Other Duties as assigned


Experience Required

  • Work Experience:
    • Required: At least 1 year of experience in event planning, event management, or related fields.
    • Desired: Experience in hospitality, guest services, or student engagement.
    • Desired: Experience in event marketing and promotional activities.
  • Skills:
    • Excellent organizational skills, with the ability to manage multiple events and projects simultaneously.
    • Strong communication skills, including verbal and written communication.
    • Proven ability to work under pressure and adapt to changing circumstances effectively.
    • Competency in Microsoft Excel, including formatting, sorting data, using filters, data validation, and managing data.
    • Basic knowledge of Excel formulas is desired.
    • Ability to prioritize tasks and attention to detail to ensure successful event execution.
  • Personal Attributes:
    • Highly attentive to detail, consistently ensuring accuracy and thoroughness in all tasks, while maintaining a keen eye for spotting discrepancies and areas for improvement.
    • Strong interpersonal skills and the ability to build positive relationships with students, staff, and vendors.
    • A proactive, team-oriented approach to problem-solving.
    • Ability to maintain a calm demeanor in high-pressure situations.

Education Requirements

Minimum Education

/Certifications High School Diploma/GED with 2 years of experience in event planning, stage management, theater production management, or student services, AND a portfolio of work that demonstrates: (a) writing abilities for professional communication and (b) project organization and coordination skills (such as project management pieces of projects)


Desired Education

/Certifications A bachelor's or associate degree in a relevant field and 1 year or more of experience in event planning, stage management, theater

production management, or student services


Working Environment

This position is primarily on campus in Tempe, Arizona. Desk is within a controlled office environment cubicle setting. There could be an option to work remotely for up to 25% of the hours after successfully completing the training period for one event cycle, from start to finish (approximately 6 months).

Additionally:

  • Requires local travel to vendors and venues for tours and event execution. Must have reliable transportation.
  • Must be able to transport and carry event materials and equipment weighing up to 50 lbs.
  • Involves extensive periods of sitting, keyboarding, and using a computer mouse.
  • Occasionally requires standing for extended periods and walking moderate distances to complete tasks. Event days will require standing and walking for 8 hours.
  • Demands the ability to adapt quickly to changing priorities, resolve conflicts effectively, and maintain clear communication to perform essential functions.

Background/Screening
