SUMMARY
The Payroll Specialist is responsible for the accurate and timely processing of payroll for all construction employees, including office and field employees. This role requires a strong understanding of construction payroll complexities, including prevailing wage requirements, certified payroll reporting, and multi-state employment regulations. The ideal candidate will possess a keen attention to detail, strong analytical skills, and excellent communication abilities while maintaining confidentiality.
ESSENTIAL DUTIES & RESPONSIBILITIES
PAYROLL PROCESSING:
• Set up new employees in payroll software.
• Collect, verify, and process employee timecards and daily reports, ensuring accuracy and compliance with project requirements, work hours, and applicable laws.
• Process weekly payroll for all employees, ensuring accurate calculations of hours worked, overtime, employee deductions, employer contributions, and reimbursements.
• Prepare 401K report and process contribution weekly.
• Calculate and process complex payroll entries including prevailing wage, fringe benefits, and other construction-specific pay components.
• Process off-cycle payrolls (corrections/adjustments, bonuses, terminations, etc.) as needed.
• Manage direct deposit processing as needed.
• Prepare and distribute payroll reports.
• Assist with garnishments and state or local tax updates.
• Maintain accurate payroll records and documentation (electronic).
COMPLIANCE & REPORTING:
• Maintain compliance with company policies and procedures related to payroll.
• Ensure compliance with all applicable federal, state, and local payroll laws and regulations, including those specific to the construction industry (e.g., Davis-Bacon Act, state prevailing wage laws).
• Prepare and file certified payroll reports for government projects, ensuring accuracy and adherence to project-specific requirements.
• Prepare and file work comp reports and ensure compliance for projects which adhere to special insurance or workforce reporting.
• Stay abreast of changes in federal, state, and local payroll laws and regulations and industry best practices, and proactively implement necessary updates to procedures.
• Reconcile payroll discrepancies and resolve employee payroll inquiries promptly and professionally.
• Assist with year-end payroll processing, W-2 preparation, and audits.
SYSTEMS & TECHNOLOGY:
• Utilize and maintain payroll software/systems (e.g., Payroll4Construction, LCP Tracker, WrapWorks) effectively.
• Ensure all data within the payroll system is accurate and up-to-date.
• Identify and recommend improvements to payroll processes and systems to increase efficiency.
Communication & Collaboration:
• Communicate effectively with employees, field leads, project managers, and upper management regarding payroll-related matters.
• Collaborate with HR department on employee onboarding, terminations, and other personnel changes impacting payroll.
• Work closely with accounting personnel to ensure accurate financial reporting of payroll data.
OTHER DUTIES:
• Assist with internal and external audits related to payroll.
• Perform other related duties as assigned.
