SOS Care is seeking a highly organized and detail-oriented ABA Scheduling Coordinator to join our team. This role is essential in managing schedules, coordinating appointments to include handling cancellation phone calls from staff and families, responding to families' inquiries, and ensuring efficient office operations. The ideal candidate will possess strong administrative skills and demonstrate exceptional phone etiquette while providing excellent customer support.
The ABA Scheduling Coordinator plays a crucial role in ensuring the smooth operation of our ABA Clinic by managing the entire scheduling process.
Primary Responsibilities and Specific Duties:
· Scheduling and Appointment Management:
- Coordinate and schedule participant therapy sessions, ensuring therapists' availability and participant preferences are considered.
- Maximize the schedule to ensure that all participants receive the recommended number of weekly therapy hours.
- Work closely with the ABA leadership team to optimize ABA therapist schedules and maintain an efficient workflow.
- Maintain all scheduling and respond to situations where scheduling conflicts, emergencies and/or “callouts” arise.
-The schedule must be completed and communicated to all staff at least one week before the new schedule starts.
- Communicate all scheduling changes/updates with families (via email, text or phone call) including when major changes occur i.e. days/times/therapist.
- Audit Aloha on a regular basis to ensure hours match scheduled hours.
- Record and update schedules in Aloha software
- Communicate and provide input to the ABA leadership team regarding hiring needs on a regular basis.
Cancellation Management:
- Handle incoming phone calls and emails related to appointment cancellations, rescheduling, or adjustments to therapy schedules.
- Communicate cancellation policies to participants and work to minimize disruptions to therapy services.
- Find coverage for RBT's when they take planned or unplanned time off.
SOS Care Expectations:
- Create and maintain professional relationships with families, staff, interns and volunteers.
- Ensure confidentiality of all participant information and files in adherence to HIPAA laws.
- Follow all rules and guidelines as presented in the SOS Care Policy manual.
- Maintain open communication with the ABA Program Manager
- Demonstrate all SOS Care Core Values.
- Attend Level 10 meetings as required.
Qualifications:
- High school diploma or equivalent; some college education preferred.
- Previous experience in scheduling, customer service, or administrative support, preferably in a healthcare or therapeutic setting.
- Strong understanding of staffing needs and scheduling requirements.
- Excellent organizational and time-management skills.
- Proficient in using staffing software.
- Exceptional communication and interpersonal abilities.
- Ability to work in a fast-paced environment and handle multiple tasks.
- Demonstrate an ability to identify and solve problems; uses initiative and good judgment to reach quality decisions.
- Familiarity with ABA therapy and understanding of the needs of families receiving behavioral therapy services.
Work Hours:
- Part-time position, up to 10 hours per week as needed. **May increase upon need**
- Flexibility in scheduling is available, with some evening or weekend shifts possible depending on clinic needs.
- Early morning and afternoon hours are required M-F to meet the needs of potential staff or participant cancellations.
Job Type: Part-time
Pay: $16.00 - $18.00 per hour
Schedule:
- Monday to Friday
- Weekends as needed
