Position Overview:
The Part-Time Office Administrative Assistant will provide essential support to the operations of the SBVDRC by performing a variety of administrative and clerical tasks. The assistant will work closely with staff to maintain smooth office operations across multiple locations, ensuring all procedures and protocols are followed efficiently.
Key Responsibilities:
- Schedule appointments, maintain calendars, and provide reminders to clients and staff.
- Assist in maintaining client records and updating office databases in accordance with SBVDRC confidentiality policies.
- Support SBVDRC staff with documentation, data entry, and filing of records, ensuring accuracy and organization.
- Prepare and distribute correspondence, reports, and other documents as requested.
- Assist with the preparation of program materials, including the organization of class support and scheduling.
- Monitor and manage office supplies, including keeping track of inventory levels and placing orders as needed to maintain an organized and well-stocked office.
- Manage invoices and billing processes, ensuring all records are accurate and up-to-date.
- Work from both the Romney and Moorefield office locations on a weekly basis to support operations in each location.
- Coordinate office maintenance and repairs when necessary.
- Assist with general office tasks such as photocopying, scanning, and managing incoming and outgoing mail.
- Maintain a clean and organized office environment.
- Support the SBVDRC team with other administrative tasks as needed.
Qualifications:
- High school diploma or equivalent required; some college coursework or relevant certification preferred.
- Previous experience in an administrative or office support role is preferred.
- Strong organizational skills and attention to detail.
- Proficient in Microsoft Office Suite (Word, Excel, Outlook) and basic office equipment.
- Excellent written and verbal communication skills.
- Ability to multitask and manage time effectively in a dynamic environment.
- Discretion and ability to handle confidential information with professionalism.
- Ability to work in both the Romney and Moorefield office locations weekly.
- Strong interpersonal skills with a team-oriented attitude.
Work Environment:
- The position requires working in an office setting with occasional interactions with staff and clients.
- The role may require travel between the Romney and Moorefield offices and occasional lifting of office supplies or materials (up to 20 lbs).
