Responsibilities
- Oversee daily office operations and ensure a welcoming environment for clients and visitors.
- Manage calendar scheduling, appointments, and meetings for staff members.
- Maintain accurate filing systems and ensure all documents are properly organized.
- Handle incoming phone calls and direct them to the appropriate personnel while providing excellent customer service.
- Utilize QuickBooks for basic accounting tasks, including invoicing and tracking payments.
- Assist with proofreading documents for accuracy before distribution.
- Support the dental receptionist duties as needed, including patient check-in and appointment confirmations.
- Coordinate office supplies inventory and place orders as necessary to maintain stock levels.
- Implement efficient office procedures to enhance productivity and streamline workflows.
Experience
- Proven experience in office management or administrative roles is preferred.
- Familiarity with QuickBooks is a plus but not mandatory; willingness to learn is essential.
- Strong computer literacy with proficiency in Microsoft Office Suite (Word, Excel, PowerPoint).
- Experience in a front desk role or similar customer-facing position is advantageous.
- Excellent proofreading skills with keen attention to detail.
- Ability to manage multiple tasks efficiently while maintaining a high level of professionalism.
