PROGRAM SUPPORT SPECIALIST
EMPLOYMENT SUMMARY The STDC Ryan White Part B Administrative Agency Program is looking for a self-motivated and task-oriented individual to work as a Program Support Specialist. Summary of job tasks include:
- Assists with placing, answering, follow-up, and transfers calls.
- Opens, stamps, sorts, distributes incoming mail and prepares mail-outs; maintains records on postage, registered mail, and packages; and processes outgoing mail.
- Prepares documents for data entry and posts information to agency records.
- Files and maintains supplies, forms, records, materials, and reports.
- Delivers, picks up, or receives documents, supplies, mail, equipment, or materials; checks for quantity and quality; arranges for repairs and services and develops purchase orders.
- Reviews program and financial reports, and similar type of documents for completeness and accuracy.
- Assembles, organizes, and tabulates data.
- Take messages and schedules for appointments.
- Greets callers and visitors, answers general questions.
- Performs bidding and purchasing of supplies and other program related items.
- Answers inquiries regarding programs and services, assists staff in filling out forms, and provides information to the public by phone, fax, mail, or email.
- Coordinates and facilitates the scheduling of meetings.
- Reviews, compiles, organizes, and tabulates data; performs calculations; and prepares charts, graphs, documents and tables.
- Assists with the development of contracts, program applications and other similar and related documents.
- May assist in review of monthly services expenditure reports for completeness, appropriateness, and accuracy.
- Performs other work as assigned related to the overall program and staff support.
Performs routine to complex (journey-level) clerical work. Works under general supervision, with limited to mid-level latitude for the use of initiative and independent judgment. This position reports directly to the Regional Programs Director.
QUALIFICATIONS:Experience in receptionist, clerical, bookkeeping assistant, or data entry work. Graduation from high school or equivalent is required. An associate’s degree or higher is generally preferred. Experience and education may be substituted for one another. Must have working knowledge in using Excel and Word applications, and other related applications.
