Overall Description
Under the general supervision of Director of Maintenance, provides time reporting via VMIS and CAPES, schedules vehicle inspections, reads fuel and oil meters, compiles reports and performs miscellaneous clerical activities.
Specific Responsibilities
- Receives, sorts, replaces time cards; posts hours worked, enters proper pay rate, posts in employees’ time card book. Enters payroll deviations, determines when meal allowances are due, obtains money for same and issues to employees. Determines when personal holiday, holiday and vacation allowances are due, prepares timecards for proper time payment. Monitors employee sick time entitlements. Updates employee wage progressions.
- Records hours spent on each job, forwards hours and payroll to accounting department, assigns charges for maintenance work performed including special charges for grant work. Prepares, types expense vouchers and pay advances. Prepares payroll adjustments. Distributes checks as required.
- Updates employee records to include medical, compensation and employees change of status (3114), keeps daily record of advancement, and checks all forms for completeness before submission. Maintains, updates, and purges records according to VEM recordkeeping best practices.
- Schedules major and minor vehicle inspections; posts all major repairs, relines, unit changes onto vehicle record cards; maintains operating data on engines, vehicles, tires, etc. Enters PA state inspection reports.
- Reads fuel and oil meters daily; computes daily fuel and oil inventory. Receives data reports on mileage, fuel, etc; posts to appropriate forms. Orders fuel and oil as required. Determines mileage operated by reading meters; reports defective meters as required.
- Maintains warranty time-limit records on new vehicles; maintains records of warranty work performed; reports warranty expiration dates to appropriate personnel.
- Codes, enters and receives data from computer terminal.
- Types general garage forms, information request forms, daily work sheets and other reports as required.
- Answers telephone inquiries; relays messages to supervision. Assists in preparation and conducting of various pickings.
- Issues parts books, service manuals, etc. for use by shop personnel.
- Opens, distributes mail; sorts, files trouble cards and inspection cards.
- Maintains vehicle records, repair cards, work records. Maintains, updates, and purges records according to VEM recordkeeping best practices.
- Orders, receives, and issues materials and supplies.
- Complies with all Authority and departmental safety and security policies and procedures as well as all applicable job safety responsibilities. Reports any safety concerns, compromises or hazards affecting operations, the public, self and/or other employees. Responsible for personal safety and is encouraged to promote the safety of others.
- Performs miscellaneous duties as assigned.
QUALIFICATIONS AND EXPERIENCE
- High School diploma or equivalent. Typing 45 w.p.m. Basic PC usage skill
- Knowledge of vehicles, model types and parts phraseology of equipment.
- Knowledge of timekeeping procedures, department forms and reports.
- First aid techniques.

- Must be able to lift 50 lbs.
