Our dental orthodontic practice is seeking an experienced dental front office supervisor and insurance biller.
The Front Office team handles all administrative duties for the practice, sets daily schedule for patients and staff, answers multiline phones, schedules new and existing patients, insurance billing and leads practice production collections by statistics. Spanish is a plus.
JOB RESPONSIBILITY:
The Front Office Admin Team is responsible for handling all front office duties for the assigned orthodontic or dental office and must ensure that the patient and parent/guardian are the number one priority, whether it be over the phone or in the office. Adapting to each individual and providing quality customer service is a must. This support is crucial to the delivery of the Company’s mission of helping patient achieve a lifetime of great oral health.
MAJOR DUTIES & RESPONSIBILITIES:
- Answer incoming calls promptly, communicate in a courteous and respectful manner, and address caller’s needs to ensure patient satisfaction.
- Greets the patient with a smile and ensures the patient has a long lasting positive impression of the practice.
- Assists the patient, based on the patient’s reason for the visit. This includes, answering questions, checking the patient in/out, scheduling, completing the necessary paperwork, etc.
- Collect the necessary paperwork, ensures payment methods are gathered, and enter/scan all of the data into the Practice Management software.
- Schedule patients as needed based on the Company’s scheduling guidelines.
- Provide any necessary documents to the patient (e.g., receipts, school notes, appointment reminder cards).
- Ensure that all information, as well as procedure codes, is accurately entered into the Practice Management software.
- Call patients to reschedule all missed appointments, as well as works on the recall lists to schedule appointments that may be needed.
- Collect patient’s referral source and records it in the patients’ chart.
- Handle patient accounts and outstanding balances, based on the daily collections report.
- Attend and participate in all office meetings, continuing education events and daily huddles.
- Understand insurance benefits to effectively communicate to the patient. Follow the Company policies pertaining to collections and financial protocols.
- Comply with all of the laws and regulations, including HIPAA, OSHA, etc.
- Follow all administrative procedures and policies to ensure consistent standards.
- Assist the Orthodontic Treatment Coordinator as needed.
- Other duties as assigned.
EDUCATION & EXPERIENCE:
- A minimum of a high school degree or equivalent is required.
- 2 years of experience in the dental field is a plus!
- Experience working in a professional, medical, or dental environment with direct customer service is required.
- Bilingual preferred but not required.

- Effective written and verbal communication skills with all levels of employees and public.
- Excellent organizational skills; strong attention to detail, ability to multitask and perform job duties in a timely manner.
- Strong computer skills and ability to learn new programs as needed.
PHYSICAL DEMANDS:
- Walking, sitting, standing for extended periods of time.
- Ability to lift/carry up to 30 pounds and be able to twist, turn, bend and stoop.
WORKING CONDITIONS:
- Dental office environment.
- Travels between the assigned offices.
- Work hours vary based on the specific office schedule and/or business needs.
Job Type: Full-time
Pay: From $27.00 per hour
Expected hours: 36 – 40 per week
