What You Will Do
- Maintain student academic records including grades, GPAs, academic standing, repeated courses, and proficiency credits – accuracy is key!
- Process end-of-term grades and grade reports, ensuring everything is documented correctly.
- Handle grade changes and keep track of incomplete grades and extensions – keeping things running smoothly.
- Manage reentry admission applications, assess eligibility for readmission, and update academic statistics.
- Process academic forgiveness requests and assist with study abroad documentation.
- Help with military tuition reimbursement by assisting in reporting grades for eligible students.
- Support in preparing enrollment and degree certifications and letters that report academic statistics and GPA.
- Assist with submitting enrollment information and degree verification to the National Student Clearinghouse.
- Help with enrollment certification for V.A. students receiving educational benefits.
Minimum Acceptable Qualifications
High school diploma or equivalent.
2. Any one or combination totaling three (3) years (36 months) from the categories below:
A. course work in any discipline as measured by the following conversion table or its proportional equivalent:
-30 semester hours equals one (1) year (12 months)
-60 semester hours or an Associate’s Degree equals eighteen months (18 months)
-90 semester hours equals two (2) years (24 months)
-120 semester hours or a Bachelor’s degree equals three (3) years (36 months)
B. work experience in administrative support, admissions and enrollment, customer service, public relations, records management, or closely related experience.
The Ideal Candidate Will Have
· Working knowledge of Microsoft Office software, Banner information software (student module), Sharepoint, Perceptive Content document imaging software, Argos, E-Print and VA Enrollment Manager.
· Detailed knowledge of University Academic policies and procedures, admission policy regarding reentry students, and Registrar's Office policies and procedures.
· Good mathematical and interpersonal communication skills and the ability to analyze situations as they relate to various academic policies and procedures.
· Good data entry skills.

Illinois Residency Requirement: Pursuant to the State Universities Civil Service System, out-of-state candidates must establish Illinois residency within 180 calendar days of the start date for this position. Illinois residency requires proof of a valid Illinois Driver’s License or state of Illinois ID Card. Failure to produce the required documentation within 180 calendar days will result in immediate termination of employment.
