As an Admissions and Records Officer - Graduation at SIUE, you’ll play a key role in supporting students as they cross the finish line and earn their degrees! From evaluating student records to preparing for commencement ceremonies, you’ll ensure everything is in place for students to celebrate their hard-earned achievements. What You Will Do
- Review student records to ensure all degree requirements are met.
- Create and process graduation applications in Banner, post degrees, and manage application adjustments (like inactivating or moving applications to a different term).
- Notify students, program directors, and advisors about any degree deficiencies.
- Order diplomas for graduating students.
- Explain graduation policies and procedures and handle any inquiries or complaints about the graduation process.
- Assist with CAPP and DegreeWorks evaluations and make necessary adjustments in DegreeWorks.
- Prepare and send graduation-related correspondence to students and other stakeholders.
- Determine commencement eligibility and make sure all students are ready for their big day.
- Maintain graduation statistics and assist in preparing the commencement program.
- Get ready for the commencement ceremonies by helping with event preparation and logistics.
- Use Perceptive Content optical imaging software to scan, perform quality checks, and link graduation documents.
- Communicate important policies such as continuous enrollment, time limits, and Graduate School completion deadlines.
Minimum Acceptable Qualifications
1. High school diploma or equivalent.
2. Any one or combination totaling three (3) years (36 months) from the categories below:
A. course work in any discipline as measured by the following conversion table or its proportional equivalent:
-30 semester hours equals one (1) year (12 months)
-60 semester hours or an Associate’s Degree equals eighteen months (18 months)
-90 semester hours equals two (2) years (24 months)
-120 semester hours or a Bachelor’s degree equals three (3) years (36 months)
B. work experience in administrative support, admissions and enrollment, customer service, public relations, records management, or closely related experience.
The Ideal Candidate Will Have
- Detail-oriented with a passion for helping students succeed.
- Comfortable working with various software tools, especially for data management (experience with Banner, DegreeWorks, or Perceptive Content is a plus!).
- Excellent at communication – both verbal and written.
- Organized and able to juggle multiple tasks at once.
- Ready to assist students, faculty, and staff with all things graduation-related!

Illinois Residency Requirement: Pursuant to the State Universities Civil Service System, out-of-state candidates must establish Illinois residency within 180 calendar days of the start date for this position. Illinois residency requires proof of a valid Illinois Driver’s License or state of Illinois ID Card. Failure to produce the required documentation within 180 calendar days will result in immediate termination of employment.
