Southside United HDFC, better known as Los Sures, is a multi-service, community based non-profit organization based in Williamsburg, Brooklyn. Our company provides a wide range of services to our tenants and community members ranging from affordable housing and tenant organizing, to social services and activities for senior citizens.
Reports to: Sr. Property Service Coordinator and Associate Property Services Coordinator
This role is key in providing support to the Property Management Team. The Property Administrative Assistant will be a bright and dynamic individual with hands-on experience and a demonstrated ability to successfully assist the Sr. Property Service Coordinator and Associate Property Service Coordinator with day-to-day operations and carry out tasks and functions to optimize efficiency of day to day operations revolving around but not limited to repairs, registrations, reports, invoice processing etc.
Job Responsibilities
The following represents the general job responsibilities including but not limited to:
⮚ Answer phones, coordinate and follow up on all day to day repairs and effectively handle all tenant concerns, complaints and requests professionally.
⮚ Maintain accurate records for any routine repairs and all major repair projects.
⮚ Assist with the day-to-day back-office operations of the department which include processing invoices, drafting tenant letters/notices, filing all work orders, getting all annual registrations (DHCR-rent registrations, MDR etc.) in on time and the preparation of monthly management reports and other reports as needed.
⮚ Conduct periodic inspections of the property and tenant spaces to ensure compliance with leases and the proper upkeep of the property as requested.
⮚ Generating purchase orders with a detailed eye on accuracy, placing maintenance orders and ensure we receive competitive rates on our purchases.
⮚ Responsible for coordinating all repairs for failed Section 8 HQS inspections, certifying those repairs as well as coordinating court stipulation repairs and providing proof of completed repairs to legal.
⮚ Liaison between tenants, contractors/vendors, building staff/team members.
⮚ Work with expeditors and HPD on all aspects of ECB, DOB, HPD, FDNY violation
removal.
⮚ Assist the Sr. Property Service Coordinator and Associate Property Service Coordinator with all aspects, record keeping, data entry and special projects as requested.
⮚ Program trouble shooting (Yardi and Rent Cafe).
⮚ Any other projects or assignments that support the department.
Qualifications, Education and Experience
Bachelor’s degree or at least 2 years of experience
Knowledge of rent stabilization law, leasing, affordable housing, Knowledge of HPD, DOB, ECB, DHCR, NYCHA and other city agencies
Strong oral, written, organizational communication and follow up skills a must
Strong ability multitask, pay attentions to detail, work both individually and as part of a team in a fast-paced environment
Ability to maintain professionalism at all times under stressful situations Ability to adapt to
change in practices and policies
Proficient in Microsoft Office/Suite (Excel, Word, PowerPoint, and Outlook)
Ability to learn any organizational software applications. YARDI experience a plus
Bilingual, English & Spanish preferred
