Position Overview:
We are seeking a highly organized and proactive Executive Assistant to provide comprehensive administrative support to the President of our company. The ideal candidate will possess excellent communication skills, attention to detail, and the ability to manage multiple tasks efficiently and accurately. The Executive Assistant will act as a liaison between internal staff, and external customers, ensuring smooth daily operations and a high level of organizational effectiveness.
Key Responsibilities:
- Administrative Support: Provide executive-level administrative assistance, including calendar management, scheduling meetings, and arranging travel accommodations.
- Communication: Draft and manage correspondence, including emails, memos, and reports. Act as the first point of contact for both internal and external customers.
- Meeting Coordination: Organize and coordinate meetings ensuring all logistics (venue, materials, agendas) are handled.
- Document Management: Prepare, proofread, and organize documents and presentations, ensuring accuracy and timely delivery.
- Project Management: Assist with tracking project progress and ensuring deadlines are met. Manage and prioritize requests and follow up on outstanding tasks.
- Research and Reports: Conduct research and compile information on various topics, providing summaries and recommendations for executive review.
- Expense Management: Handle expense reports and assist with budget tracking projects.
- Confidentiality: Handle sensitive and confidential information with discretion and professionalism.
- Additional Duties: Assist with personal tasks as required, including making personal appointments or managing personal projects.
Qualifications:
- Experience: Minimum of 3-5 years of experience as an executive assistant or in a similar administrative role, preferably supporting senior management or executives.
- Education: Associates degree or equivalent experience.
- Skills:
- Strong organizational and time-management skills, with the ability to multitask and prioritize tasks effectively.
- Excellent written and verbal communication skills.
- Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and familiarity with project management tools.
- Ability to work independently and take initiative in a fast-paced environment.
- Strong problem-solving skills and attention to detail.
- Ability to maintain professionalism and discretion in handling confidential information.
