Spartanburg Day School is currently seeking a Administrative Assistant for the 2025-2026 school year. Spartanburg Day School is a nationally recognized, nonsectarian school, enrolling approximately 580 students aged 2 to Grade 12. The Division Assistant will support Preschool and Lower School performing a variety of clerical tasks to assist school administration, including managing student records, answering phone calls, greeting visitors, maintaining attendance logs, processing paperwork, scheduling field trips, and providing general administrative assistance to teachers and staff, all while ensuring a positive and welcoming environment for students, parents, and faculty.
Key Responsibilities
Reception Duties:
- Answering phone calls and directing inquiries to appropriate staff
- Greeting visitors and checking them in using visitor management systems
- Providing general information about the school through a wide variety of communications
Student Records Management:
- Maintaining accurate student attendance records
- Updating student information and files
- Processing student registration paperwork
Administrative Tasks:
- Copying and distributing documents to faculty and families
- Filing important school documents and records
- Ordering office supplies and managing inventory
- Manage summer orders for curriculum and classroom materials
- Track grade level and teacher-specific budgets
- Assisting with scheduling appointments and events
Communication and Support:
- Communicating with parents regarding student attendance, important announcements, and other school information
- Assisting teachers with administrative tasks as needed
- Providing support to the Head of Lower School, Head of Preschool, and other administrative staff
Compliance and Safety:
- Maintaining confidentiality of student records and family information
- Adhering to school policies and procedures
- Ensuring the safety and security of the school office
OTHER FUNCTIONS
- Strong organizational and time management skills
- Excellent communication skills, both verbal and written
- Proficiency in Microsoft Office Suite and other relevant software
- Attention to detail and accuracy
- Ability to multitask and prioritize tasks effectively
- Positive and professional demeanor
