We are seeking a highly organized and proactive Office Coordinator to join our team. This position performs administrative duties and reception tasks to assist all departments at the Boulder Innovation Center while maintaining a professional image of Specialized Bicycle Components, Inc. at all times. This position requires strong communication skills, attention to detail, and the ability to manage multiple priorities effectively.
HOW YOU WILL MAKE A DIFFERENCE:
· Greet all Specialized Teammates and visitors in a warm, welcoming, and respectful manner
· Serve as the point person for building access by controlling and issuing employee/visitor badges and enforcing visitor polices
· Responsible for maintaining cleanliness and presentation of common office areas
· Track, reorder, physically restock, and organize restroom, conference room, and building operations supplies while liaising with vendors to ensure timely deliveries
· Receive, sort, and distribute daily office mail and deliveries (USPS/Amazon)
· Provide domestic shipping and receiving services for teammates with FedEx Ship Manager and Envoy Deliveries Kiosk
· Plan and execute Louisville onsite teammate engagement activities to include bagel and free lunch days, seasonal events, socials, celebrations, town-hall meetings and wellness events
· Perform accounts payable function for Facilities to include payments, expense tracking, purchase orders and account analysis
· Support Facilities when needed by helping with maintenance requests, supply sourcing, office signage, departmental onsite visits and the overall BIC teammate experience
· Assist HR with onboarding support, maintaining office polices, and employee relations support
· Other duties as assigned
WHAT YOU NEED TO WIN:
· 2-4 years of experience working in a dynamic, corporate office setting
· Strong knowledge of office operations required
· Prior experience in administrative, office management, event planning is preferred
· Familiarity with accounts payable and receivable practices
· Highly proficient in Microsoft Office Suite (Word, Excel, Power Point, Outlook) and Online meeting platforms; comfortable with technology and new software
· Flexible and creative, comfortable with ambiguity, organized and detail-oriented
· Demonstrates a positive, professional, and collaborative attitude
· Must have the ability to prioritize tasks to meet multiple deadlines
· Must have excellent verbal and written communication skills
· Strategic problem-solving and strong interpersonal skills including ability to work with individuals at all levels of management, maintain confidentiality, and maintain high level of professionalism
