What are the responsibilities and job description for the Medical Scribe/Medical Assistant position at Specialty Practice- Peds and Adults?

Our adult and pediatric medical subspecialty practice run by a Board-Certified Clinician/UCSD Voluntary Assistant Clinical Professor/Published Researcher is hiring. We're known for our on-time, organized, state-of-the-art treatment and caring, patient-centered focus.

We anticipate that this position will be a hybrid of in-person at our La Jolla and/or Encinitas locations. The specific days and hours are potentially flexible for the right applicant. Some degree of "remote" work and/or one or more weekdays off are possible for the right applicant.

Neither previous experience in a medical setting nor medical assistant training is required to apply.

We are looking to hire a part-time or full-time medical scribe / medical assistant (and/or administrative assistant- several jobs available…) This professional should be motivated to use his/her creativity, people skills and intelligence to improve our office and our patients' experience.

This could be the perfect job for someone applying to enter med school or who needs “clinical hours” for PA school. Over the years, 13 out of 13 of our former scribes/MA's who applied to MD medical school, 3 out of 3 who applied to PA school (using clinical hours they acquired working at this job), 1 out of 1 who applied to DO school, and 1 out of 1 who applied to veterinary school were ALL accepted and are now in med school, PA school etc. or in residency!

We'd like to think that their work experience here, managed directly by the managing MD (there is no Office Manager), cross-trained with a unique mix of hands-on clinical direct patient care, scribing, medical assisting, answering phones, etc. was part of what made our former scribe/MAs well-rounded, confident, successful applicants for grad school. Most of them applied using letters of reference and guidance on interviews and personal statements from our managing MD. Our previous scribes/MA's are a fantastic resource.

We are also in demand as a clinical training site for UCSD medical students and physician assistant students. In fact, we encourage our scribe/MAs to think like and feel like medical/PA students, ask medical questions of the managing MD, read the medical literature, etc. We even provide every scribe/MA with home access to UpToDate.com subscription medical reference which they can use to study as they wish on their own time.

The important work here is likely to include some combo of: working as a medical assistant directly with patients (after appropriate training); acting as a medical "scribe" (but not a silent scribe--see below); answering the phone and scheduling patients; documenting in the electronic medical record/EMR; prepping and cleaning up after office procedures; coordinating with health plans, hospitals, other medical practices, medical residents, medical students, physician assistant students, etc.; improving and following standard operating procedures (SOPs); scheduling and assisting with lectures/ presentations; administrative; other duties as assigned.

Optimally, the scribe/MA is eventually cross-trained across most or all aspects of the practice. If you're looking for a job that is 100% scribe or 100% typical MA, this isn't it, and our past scribe/MAs were happy that it wasn't that way.

Previous assistants have noted that our unique combo of multiple roles and responsibilities in a busy medical practice is challenging, but much more interactive, interesting and educational than full-time scribing or doing a typical MA or patient care tech job in a large hospital system. One previous assistant noted that in a previous job, scribing at a hospital, he was expected to be "seen but not heard." He loved that in our clinic, he could contribute in more ways and engage directly with patients.

The practice is essentially "paperless" and we use: Athena EMR/billing system; Google G Suite; UpToDate and VisualDx subscription medical references, ergonomic sit/stand workstations with multiple 24-27" monitors, etc.

We are looking for applicants with the following attributes:

Available to work scheduled hours on scheduled days at our offices in San Diego. "Remote" work and/or one or more weekdays off are possible for the right applicant.

Typing speed at least 75 words per minute. Your application will not be reviewed without a typing test...

Competency acting as a live medical “scribe," interacting with the EMR and keeping up with the MD, in real-time

Competency using a script and customer service skills to professionally and empathetically handle incoming phone calls

Sufficient understanding of health insurance and Medicare (terminology, CPT procedure codes versus ICD diagnosis codes, HMO/PPO/EPO/POS, referrals , deductibles versus coinsurance versus copayment versus out-of-pocket maximum, etc.)

Sufficient understanding of HIPAA privacy and other basic regulations pertinent to a medical office

Intellectually-curious quick learner who likes improving his/her skills with self-learning and constructive criticism.

Trustworthy and able to maintain confidentiality of medical information

Successfully completed Blood-borne pathogen OSHA training/exam.

Competency with medical terminology

These Conditions For Employment allow us to maintain our focus on patients. Training new staff in the office has the potential to be a distraction, especially in our small and busy office space.

Again, it is NOT necessary to meet these requirements in order to be interviewed. After your interview, you could study/practice on your own time until you meet the Conditions For Employment and then could let us know when you are ready to be considered for the job. Preferred but not required:

-3rd or 4th year College student or College graduate

-Work experience in a medical office is preferred, but neither previous medical experience nor medical assistant training is required to apply. Few of our previous employees had experience in a medical setting or training as a medical assistant. But they had all worked (not just volunteered) somewhere, usually managing themselves at a job with significant responsibility. One was previously a touring professional athlete. One was a management consultant for 7 years and changing careers to Medicine. Several had worked as servers.)
