The Business Office Manager serves as the engine that keeps our community running effectively by providing the clerical, bookkeeping, budgeting, financial reporting, and accounting support to our leadership team, and to our associates and residents who call the community their home.
In this role as a Business Office Manager, you will work closely with the Executive Director to create an efficient operation by processing bi-weekly payroll, processing new hire paperwork, maintaining accounts receivable, accounts payable and resident billing operations, processing purchase orders, setting up and maintaining all vendor files and communications, and providing support to each department.
As the Business Office Manager you will also set up and maintain all resident and employee files in accordance with regulations and policies, manage all petty cash transactions and reimbursements, be responsible for all computer systems and program operations such as AP/Payroll/Billing/Work Orders, etc., in addition to supervising the reception team.
This position is FULL TIME, Monday-Friday 9:00am-5:00pm covering the front desk till 4pm each day. This individual will also work occasionally on Saturdays (1 every 7 weeks) as manager on duty and occasional community events at night along with other members of management. This individual will also oversee the reception team. The receptionists work Monday-Friday from 4pm-7pm and Saturdays and Sundays from 9am-6pm.

Duties and Responsibilities
- Processes bi weekly payroll
- Processes new hire paperwork and owns the new hire process and conducts background checks and other required pre-hire documents for new team members.
- Plays a vital role in the sales process in welcoming prospect residents and families touring the community both in person and by phone.
- Processes resident monthly or ancillary payments.
- Answering phone calls effectively at the front desk and reaching out to missed calls quickly.
- Creates and executes a customer service focus culture at the front desk that has positive impact for residents, families, and all who visit the community
- Ensures that the front desk and main lobby area are kept tidy and organized at all times.
- Oversee monthly new hire orientation for new team members
- Maintains efficient accounts receivable and ensures community collects efficiently and accurately.
- Organizing daily mail and packages that are delivered to the community.
- Regularly audits resident and employee files to ensure the community maintains state requirements.
- Purchases supplies for the front desk, printer supplies, and name badges for residents and team members.
- Plays a vital role in the welcome home process for new residents by providing name plate, badges, and welcome binder for new residents moving into the community.
Requirements
- Senior living experience is preferred but not required.
- Will need to have exceptional problem-solving and time management skills.
- The ability to work according to the necessary schedule to meet job requirements with or without reasonable accommodation.
- Able to follow through with commitments and needs of the residents, team members, and families.
- Possess good interpersonal communication skills.
- Customer service focused.
- CPR and first aide certified (Or at least receiving it within the first 3 months of working)
- A passion for customer service and finding solutions to problems.

Salary : $58,000 - $60,000
