St. Ambrose University is St. Ambrose University is seeking a part-time, 12-month Office Support Assistant in the Accessibility Resource Center. Qualified candidate must have strong organizational skills, able to multi-task and work in a fast-paced team environment with knowledge of Microsoft Office Suite and Internet applications. Candidate must have good time management and an ability to prioritize tasks.
Primary Job Responsibilities:
- Answer and direct phone calls and emails professionally
- Organize and maintain office files and records
- Schedule meetings, exams and room reservations
- Assist students and faculty with exam accommodations as well as facilitating the exam process.
- Ability to maintain confidentiality and handle sensitive information
- Daily use of Outlook, Microsoft Office, and Google Forms
- Perform other administrative tasks as needed
Key Responsibilities Include:
- Perform clerical work consisting of filing, email correspondence, photocopying, scheduling staff appointments, devising forms, greeting office visitors, and answering phones.
- Coordinate scheduling, administering, and reserving rooms for student exams.
- Daily use of Outlook, Microsoft Office, Google Forms and other internet applications.
- Collect and record data used to track the students in the ARC including initial visit, new student file and in-take surveys. Monitor students' confidential information on office database.
- Provide consistent office correspondence to faculty concerning student requests and to prospective students and required accommodations.
- Welcoming students and guests to our office in a friendly and professional manner.
- The ability to troubleshoot, problem solve and support other office staff.
Qualifications:
- High school diploma or equivalent.
- Excellent written and verbal communication skills.
- Excellent project management, organizational, and planning skills.
- Must be able to work as a member of a team, independently work under tight deadlines, and assume responsibility for accurate completion of assignments.
Preferred Qualifications:
- Office support experience preferred.
