St. John Baptist Church in Gainesville is entering an exciting new phase. Guided by prayer and God’s Word, we are embracing a new strategy to strengthen our mission of spiritual growth, community connection, dynamic worship, and family focus.

To accomplish this mission, we are seeking a dedicated Executive Administrator to support our ministry and foster meaningful connections with our diverse congregation. This role is essential to ensuring smooth daily operations, vibrant community engagement, and effective organizational management.

Position Overview

The Executive Administrator plays a vital role by managing administrative operations, coordinating communication, ensuring the smooth functioning of day-to-day activities, coordinating volunteer and member activities, managing membership records, and organizing conferences and events. This position serves as the organizational backbone, working closely with the Pastor, ministry leaders, and congregation to uphold the values and mission of the church.

Key Responsibilities

Office Administration:

Develop, implement, and maintain effective systems and procedures for the church's administrative functions, including scheduling, filing, and record-keeping of membership, giving, and meeting minutes.

Maintain office organization, manage communication, and oversee supplies.

Coordinate facility use, ensuring the building is scheduled and prepared for worship services, ministry activities, and special events.

Manage correspondence, emails, and phone calls, ensuring timely and professional communication.

Ensure the proper operation of church technology, including office equipment, AV systems, and digital tools. Manage the vendor relationships for the technology.

Manage and schedule building maintenance and equipment vendors.

Manage the church website and social media platforms to keep information current and engaging. Use social media and other platforms to enhance communication and outreach.

Enter ministry and pastoral expenses.

Prepare and distribute weekly bulletins, announcements, and newsletters.

Manage the Pastor’s calendar and travel.

Volunteer and Event Planning:

Organize and coordinate church events, including worship services, meetings, and outreach programs.

Ensure timely communication of events through bulletins, newsletters, and digital platforms.

Collaborate with ministry teams to support the planning and execution of programs and special initiatives.

Membership Management:

Administer membership database using Planning Center.

Develop, implement, and manage a guest follow up process.

Develop and facilitate membership onboarding, engagement, and retention strategies.

Conference and Event Management:

Organize conferences, workshops, and special events, handling logistics and communication.

Partner with church leaders and teams to ensure events are successful and impactful.

A successful candidate will possess the following qualifications:

  • Bachelor's degree.
  • Proficiency in membership database software and Microsoft Office Suite.
  • Proven experience in office administration, event planning, or similar roles. Church and/or nonprofit experience is a plus.
  • The drive, confidence, and motivation to take ownership of initiatives and see them through to fruition.
  • Outstanding organizational and time-management abilities, effectively prioritizing tasks, meeting deadlines, and maintaining focus in dynamic environments.
  • Exceptional proficiency in written communication, producing clear, engaging, and well-structured content tailored to diverse audiences and purposes.
  • Experience posting on social media for a Church or business.
  • Effective verbal communication abilities.
  • Familiarity with Baptist church culture and values is a plus.
  • Ability to connect and engage with diverse age groups.
  • A self-starter with a passion for fostering community and supporting ministry goals.

Job Type: Full-time

Pay: $50,000.00 - $55,000.00 per year

Schedule:

  • 8 hour shift
  • Monday to Friday
  • Overtime
  • Weekends as needed
