What are the responsibilities and job description for the Parish Administrator position at St. John's Episcopal Church?
Job Description: The parish administrator supports the Priest-in-Charge, manages the parish office, is the main point of contact for parishioners, volunteers and others who seek assistance. This person should be extremely organized, and have great customer service skills. They should be comfortable working independently but coordinate smoothly with other staff, volunteers and the community.
Duties and Responsibilities
· General office functions:
Monitor and respond to communication via email, telephone and post office mail. Maintain an on-line church calendar. Monitor and order office, kitchen, worship and housekeeping supplies
· Support for worship:
Prepare orders of service, to include special services such as baptisms, weddings, and funerals, and services for festivals such as Christmas and Easter, under the direction of the Priest-in-Charge. Coordinate schedules of worship leaders, to include lectors, intercessors and acolytes. Notify key contacts (Altar Guild, Music Ministry, Christian Ed, etc.) for coordination of services.
· Prepare and send out information to congregants:
Weekly, via bulletin inserts, eNews (Mailchimp), FB posting, mailing to the homebound, and website upkeep (Squarespace)
· Record retention:
Maintain church membership database, providing reports as needed. Complete logbooks for baptism, wedding and funeral services. Maintain Memorial Garden burial records. Maintain safe church records for staff and volunteers. Provide data for Parochial Reports and other diocesan reports, and support for the Annual Meeting. Keep all files, both electronic and paper copies.
· Office equipment and services:
Provide support for the copier, telephone systems and server/client PCs. Call repair or consultant for assistance as needed. Maintain backups on church server for data and documents.
· Financial:
Assist the Treasurer and Financial Secretary.
· Building Use:
Coordinate requests for building usage, keep the calendar up to date, oversee the operation and maintenance of buildings and grounds in coordination with the B&G Committee.
Computer Experience: Proficient in Word, Publisher and Google suite
