Job Summary
We are seeking a highly organized and detail-oriented Administrator to join our team. The ideal candidate will play a crucial role in ensuring the smooth operation of our office by providing exceptional administrative support. This position requires strong multitasking abilities, excellent communication skills, problem-solving abilities, a strong working knowledge of computer software to print church bulletins, etc., must be a self-starter, and be able to maintain a high degree of confidentiality. The Administrator will be responsible for managing office tasks, supporting staff, and enhancing overall efficiency within the organization.
Responsibilities
- Provide comprehensive administrative support to ensure efficient office operations.
- Manages and schedules appointments with outside vendors, maintain a building usage calendar, and assist the pastor in scheduling meetings with parishioners and committees.
- Perform tasks such as filing, data entry, and maintaining organized records.
- Compile committee reports for annual meetings, proofread documents and correspondence to ensure accuracy and professionalism.
- Utilize computer software programs for data management, including typing and handling correspondence.
- Answering phones, taking messages, scheduling maintenance of office equipment, address inquiries over the phone and in person.
- Maintain an organized workspace and ensure that supplies are stocked and readily available.
- Assist other staff members, council and committee members with regard to producing flyers and notifications of upcoming events.
Qualifications
- Proven experience in an administrative role or similar position is preferred.
- Strong organizational skills with the ability to manage multiple tasks simultaneously.
- Excellent verbal and written communication skills.
- Proficiency in computer applications, including Microsoft Office Suite or equivalent software.
- Experience with customer support or front desk operations is a plus.
- Attention to detail with strong proofreading abilities.
- A proactive attitude towards problem-solving and improving office efficiency.
- Ability to work independently as well as part of a team.
