Position Overview: As an Executive Assistant & Events Manager, you will play a pivotal role in supporting our executive team while also taking the lead in overseeing the planning, coordination, and execution of memorable corporate events. This dual-role position demands versatility, attention to detail and the ability to navigate both administrative tasks and event logistics seamlessly. You will work closely with clients, vendors, and internal teams to ensure flawless execution and delivery of high-quality events.
Key Responsibilities:
- Provide comprehensive administrative support to executives, including calendar management, travel arrangements, completing expense reports, and preparing correspondence (which will often be highly confidential).
- Plan, coordinate, and ensure the CEO's schedule is followed and respected by working closely with the CEO to keep him informed of upcoming commitments and responsibilities, and by acting as a “gatekeeper” to create win-win situations for direct access to the CEO's office/schedule.
- Anticipate needs and proactively address challenges to ensure the smooth operation of daily activities through proper communication between the CEO and internal departments. Maintain credibility, trust and support with senior management and staff.
- Provides leadership to build relationships crucial to the success of the organization and manages a variety of special projects for the CEO, some of which may have organizational impact.
- Prepare and organize materials for meetings, presentations, and reports while maintaining discretion and confidentiality.
- Plan, coordinate, and execute a wide range of corporate events including conferences, meetings, and social gatherings.
- Manage all aspects of event logistics including venue selection, catering, audiovisual requirements, and transportation.
- Develop and manage event budgets ensuring cost-effective planning and execution. Collaborate with internal and external stakeholders to understand event objectives and tailor experiences to meet those goals.
- Negotiate contracts with vendors and ensure all necessary permits and licenses are secured.
- Manage on-site staff, volunteers, and contractors to ensure tasks are completed efficiently.
- Conduct post-event evaluations to measure success and identify areas for improvement.
Requirements:
- Bachelor's degree in Event Management, Hospitality, Marketing, or related field (or equivalent experience).
- Proven experience as an executive assistant or in a similar role supporting C-level executives.
- Exceptional organizational, project management, and multitasking abilities.
- Excellent communication, negotiation, and interpersonal skills.
- Proficiency in MS Office and event management software (e.g., Eventbrite, Cvent, project management software, etc.).
- Attention to detail and problem-solving abilities.
- Ability to maintain confidentiality and handle sensitive information with discretion.
- Flexibility to work evenings, weekends, and travel as required for events.
