Summary

The Idaho Department of Correction (IDOC) is recruiting for a Technical Records Specialist 2 to serve on the Transparency Team. The incumbent analyzes, interprets, and processes subpoenas following applicable laws, ensuring compliance, and mitigating risk. The incumbent is expected to provide accurate information, respond within a given time frame, and provide courteous service to the agencies and professionals requesting information. The incumbent will perform moderately complex and varied tasks of moderate latitude and is required to have strong organizational skills.

Responsibilities

  • Respond to legal requests for information and subpoenas.
  • Analyze and interpret legal language within subpoena to determine the scope, jurisdiction, timeframe, due date, and proper service of subpoena.
  • Identify, compile, review, and organize documents responsive to requests.
  • Communicate with various divisions within Idaho Department of Correction to collect responsive documents and information.
  • Competently and frequently communicate with Federal and State Agencies, and Law Enforcement.
  • Effectively organize and prioritize workflow of pending subpoenas by monitoring deadlines closely to minimize risk that would result with missed deadlines.
  • Communicate and collaborate with IDOC Legal in response to legal requests for information and subpoenas.
  • Assist with and respond to public records requests.
  • Assist in performing administrative duties as needed.

Minimum Qualifications

  • Some knowledge of monitoring records systems. Typically gained by 1 year of full-time work experience monitoring record systems, identifying problems and correcting errors.
  • Some knowledge of interpreting and applying rules, regulations, or policies. Typically gained by at least one-year work experience interpreting and applying a variety of difficult rules, regulations, or policies to determine compliance or eligibility and explaining decisions to others. Decisions are complex and can affect the social or economic wellbeing of others or will result in a service or action being denied.
  • Some experience analyzing information and researching a variety of sources to identify and resolve problems or issues. Typically gained by at least one year of experience performing extensive research and analysis of highly complex or technical material requiring in-depth program knowledge in order to determine if requirements were met and if they complied with established laws and/or policies. Research must have included contacting a variety of sources both inside and outside the organization to collect, obtain, and verify information and determine the appropriate course of action.
  • Some experience dealing with individuals from varying cultural and socioeconomic backgrounds in stressful situations which dealt with personal, sensitive, or confidential information such as eligibility requirements, health issues, or financial matters.   • Some experience in a work setting where entering and retrieving data in a database records system or other computer records was a requirement.   • Some experience which required composing and proofreading a variety of business documents on a regular basis; OR, completion of at least 1 college-level English composition or business English class AND 6 months of experience composing business documents. Typically gained by at least 1 year of experience which required composing and proofreading a variety of business documents on a regular basis; OR, completion of at least 1 college-level English composition or business English class AND 6 months of experience composing business documents.
