The Administrative Services Division (ASD) is responsible for providing fiscal support and guidance to all programs and bureaus within the Department. We offer central direction to ensure consistent compliance with the initiatives of the Department as well as state and federal regulatory requirements. ASD consists of the following bureaus:
Accounting and Audit: Accounting monitors the Departments accounts. The bureau ensures all financial transactions are in compliance with state and federal laws. Audit monitors and reviews school district and charter school federal and state compliance laws, rules and regulations.
Why does the job exist?
This position assist the Audit and Accounting Bureau staff within the Public Education Department in reconciling the general ledger, federal reporting, and ensuring compliance with state and federal requirements, as well as adhering to generally accepted accounting and auditing standards and agency policies and procedures. Additionally, this position is responsible for processing daily cash draws, posting of revenue, journal entries, fund reconciliations, capital projects activity reconciliations, generating system reports, spreadsheets, annual financial audit, and any other duties as assigned.
How does it get done?
Process timely and accurately cash requests and draw downs on assigned federal grants to ensure adequate cash flow in accordance with State/Federal statutes and guidelines provided under the (CMIA) Cash Management Improvement Act agreement. Responsible for reconciliation of all expenditures, revenue and balance sheet accounts for assigned funds on a monthly and/or quarterly basis. Post accruals as necessary. Research discrepancies and prepare the necessary journal entries to make corrections as needed through the SHARE system. Adjust any amounts drawn out of incorrect awards by utilizing the appropriate federal draw down system. Assist accounting staff with the daily deposit of all agency funds to the State Fiscal Agent. Enter deposit information into SHARE accounts receivable module. Prepare daily cash report. Prepare and submit Federal Nutritional Claims FNS-10 Reports prior to monthly deadlines. Assist in year-end audit and fixed asset inventory and any other duties assigned.

Minimum Qualification
Bachelor's degree in Finance, Accounting, Economics, or Business Administration and five (5) years of directly related experience in budgeting, accounting, and/or auditing. Any combination of education from an accredited college or university in a related field and/or direct experience in this occupation totaling nine (9) years may substitute for the required education and experience. For use at the State Investment Council only: any budgeting, accounting, and/or auditing experience is acceptable.
Employment Requirements
Must possess and maintain a valid New Mexico's Driver's License.
Working Conditions
Work is performed in an office setting with exposure to Visual/Video Display Terminal (VDT) and extensive personal computer and phone usage. Some sitting, standing, bending and reaching may be required. Some occasional travel is required for meetings and conferences.
