The Executive Assistant to the Executive Director is pivotal in optimizing the ED’s productivity and leadership effectiveness within our organization. This role requires a resourceful, proactive, and highly organized individual capable of managing a diverse array of responsibilities, encompassing both tactical and strategic aspects of the role.
ESSENTIAL FUNCTIONS :
- Effectively manage and coordinate the ED’s complex and ever-changing calendar, including scheduling meetings, appointments, and travel arrangements
- Serve as the primary point of contact between the ED and internal / external stakeholders, demonstrating professionalism and diplomacy in all interactions
- Prepare meeting materials, agendas, and presentations, ensuring the ED is well prepared for all engagements
- Arrange and coordinate travel itineraries, including flights, accommodations, transportation, and other necessities
- Organize and maintain confidential files, documents, and records, ensuring efficient retrieval and filing
- Monitor, track, and report on the ED’s expenses, preparing accurate expense reports
- Screen and prioritize incoming calls, visitors, and requests, managing inquiries and issues independently or directing them to the appropriate parties.
- Assist in the execution of special projects, research, and strategic initiatives as directed by the ED.
- Collaborate effectively with other team members, promoting seamless communication and cooperation
- Address administrative and logistical challenges proactively, seeking solutions to enhance the ED’s productivity
- Handle sensitive information with the utmost discretion and maintain a high level of confidentiality
