SUMMARY
Stock and Leader has an immediate opening for an Office & Meeting Services Assistant. This dynamic services position will be responsible for performing a variety of administrative, facilities maintenance and meeting service duties in or out of the office. This includes providing general office support to attorneys, practice groups, departments and individuals as needed. The hours for this position are Monday-Friday, 8:30 AM – 5:00 PM but flexibility to work additional hours as needed is required.
The candidate must be detail oriented, extremely organized, able to work in a fast-paced environment, able to follow directions, and meet deadlines. The candidate must be able to work both independently and as part of a group. The candidate must have good computer skills and be proficient in Outlook. PRIMARY DUTIES & RESPONSIBILITIES
Office Services:
- Monitor and respond to incoming email requests.
- Provide quality reproduction of all materials submitted by end users, including binding/finishing (drilling, cutting, folding, hole-punching, laminating) stapling using digital, high-speed copiers and document production equipment.
- Complete service request tickets with minimum instructions.
- Demonstrate flexibility in satisfying customer demands in a high volume, production environment.
- Troubleshoot jams and perform normal key operator preventative maintenance on copier/printer machine fleet.
- Maintain logs of office services equipment usage and maintenance and request technical support when needed.
- Monitor usage of materials and supplies in primary stock room and order as necessary to maintain adequate levels.
- Maintain and organize floor copy rooms, adding supplies as needed.
- Check paper levels on printers/copiers on a daily basis and replenish as needed.
- Processes all office service expenditures in a timely manner (24-hours).
- Perform other duties as assigned or requested.
Reprographics:
- Operates and maintains high speed duplicating machines.
- Copy, print, scan or bind hard copy and electronic documents of various sizes and colors.
- Download copy jobs from printer holding queue, servers, links, drop boxes or emails as well as uploading finished products.
- Electronically cut/paste scanned graphics to create and design artwork for Firm deliverables.
- Bind hard copy productions.
- Collate, assemble, cut, and staple duplicated materials.
Office/Desk Moves:
- Assist with internal personnel moves.
- Assist with miscellaneous projects for attorneys and staff (including hanging art, special requests, moving furniture etc.)
- Process all expenditures related to office/furniture moves in a timely manner (24-hours).
- Perform other duties as assigned or requested.
Mail Room:
- Receive, log, deliver incoming packages (FedEx, UPS etc.).
- Meter outgoing mail.
- Retrieve and sort incoming mail from post office/postal box.
- Prepare materials for mailing including addressing, stuffing envelopes, making labels.
- Deliver mail to the post office on a daily basis.
- Maintain postage log for outgoing mail.
- Keep mail supplies stocked.
- Perform Courthouse, Bank and other deliveries when necessary.
- Process all expenditures related to the mailroom in a timely manner (24-hours).
- Perform other duties as assigned.
Facilities:
- Walk space throughout the day to review operationof equipment, furniture and fixtures (lights, photocopiers, digital scanners, refrigerators, coffee machines, water & ice dispensers, doors, carpet, common areas etc.) and ensure a safe environment.
- Work with building management and external vendors to process service requests for maintenance/repair (lights, temperature, overtime HVAC, noise, cleaning projects, porter services, etc.)
- Prepare offices for visitors and new hires.
- Process all expenditures related to facilities maintenance in a timely manner (24-hours).
- Perform other duties as assigned or requested.
Conference Services:
- Daily conference room checks (supplies, cleanliness, furniture damage, carpet stains etc.)
- Monitors conference room requests to ensure timely and accurate completion of room set ups, food services, and audio/visual as requested.
- Performs basic conference room set-ups as needed (i.e., food, beverages, configuration of chairs, tables, etc.).
- Assists in solicitation of meeting and event feedback and weekly services review.
- Completes basic audio-visual setups as requested.
- Tracks office supplies inventory and orders supplies, as necessary.
- processing invoices, as needed.
- Demonstrates effective interpersonal, written, and verbal communication skills to facilitate effective work relationships with others.
- Manages Firm resources responsibly.
- Complies with and understands Firm operations, policies, and procedures.
- Performs frequent physical exertion including standing, walking, bending over, twisting, reaching above shoulder level, pushing, pulling, repetitive use of both hands, lifting or carrying up to twenty pounds frequently and up to fifty pounds on an occasional basis.
- Regular, physical in-office presence is required to perform the essential functions of this position.
- Process all expenditures related to conference services in a timely manner (24-hours).
- Perform other duties as assigned or requested.
MINIMUM QUALIFICATIONS
- Valid driver's license required.
- Reliable transportation required.
- Ability to manage and maintain confidential information.
- Proficient in Microsoft Suite applications.
- Able to work independently and take direction well.
- Ability to multi-task, make decisions and deliver results under deadlines.
- Must pass a background check.
