Required Qualifications (as Evidenced By An Attached Resume)

Bachelor’s degree (foreign equivalent or higher) in Finance, Accounting, Business Administration or related field. Three (3) years of full time experience in financial analysis, budgeting, forecasting, or related roles. Experience with financial modeling, forecasting, variance analysis, and business trend evaluation. Advanced proficiency in Microsoft Excel, including pivot tables, VLOOKUP, macros, and complex formulas. Experience with Microsoft Office and/or Google Workspace.

Preferred Qualifications

Master’s degree (foreign equivalent or higher) in Business or related field. Additional (4 ) years of full time experience in a financial analysis, budgeting, forecasting, or related roles. Experience working in a higher education setting. Experience using Stony Brook and/or SUNY software programs (i.e. SUNY BI, SBU Reporting, CBM). Experience working with various funding sources and/or procurement systems. Experience working with diverse populations of students, staff, and faculty. Supervisory experience.

Brief Description Of Duties

The Assistant Director of Finance and Operations, reporting to the Assistant Vice President for Business Operations, leads financial activities including budgeting, forecasting, financial modeling, and year-end fiscal processes. This role collaborates with subject matter experts in Student Affairs to support business functions, performance improvement, reconciliation, benchmarking, and reporting. The incumbent must demonstrate strong analytical skills, the ability to summarize complex business data, and effective communication. Responsibilities also include supporting finance and budget initiatives and assisting with annual budget development. Excellent analytical and organizational skills are essential. The incumbent oversees various finance and budget initiatives that support the division and assists in developing the annual operating budget. Incumbent must have strong communication and presentation skills.

Financial Administration

  • Allocate budgeted costs to departments using sound financial methodologies. Prepare the Form 1 Budget, ensuring the approved Student Affairs budget allocation request is accurately entered into the Campus Budgeting Module (CBM). Reconcile the submitted annual budget with the SUNY BI reporting system to ensure consistency and accuracy. Prepare monthly account reconciliations for each department, comparing submitted budgets with SUNY Accounting systems. Monitor and track budget allocations, expenditures, and encumbrance levels to ensure sufficient funding. Identify and investigate any budget anomalies or discrepancies. Monitor and project Personnel Services, Student Assistant expenses, and Other Than Personnel Services (OTPS) funding and expenditures. Develop and manage all budget presentation materials for leadership review. Prepare ad hoc financial reports and schedules to support the budgeting process.

Analysis And Administration

  • Assist the AVP of Business Operations in preparing and analyzing financial reports from SUNY and other university departments, ensuring data integrity. Identify and resolve financial discrepancies in a timely manner. Review annual contract encumbrances to confirm appropriate funding levels. Conduct quarterly reviews of departmental account balances and assess final financial conditions. Project student employment and OTPS costs during the mid-year review, collaborating with divisional financial stakeholders to investigate significant variances. Oversee monthly calculations of estimated revenues, receipts, and expenditures by cost center and expense category. Provide specialized financial research and analysis on key topics for the Vice President and senior leadership. Reconcile individual budgets for Student Health, Wellness & Prevention Services, Career Center, Community Standards, and the Office of Student Life.

Revenue And Fee Analysis

  • Conduct financial analysis related to Income Fund Reimbursement (IFR) and Broad-Based Fees (BBF). Prepare materials and reports for budget presentations. Reconcile IFR account expenditures and forecast balances to ensure sufficient funding for projects and renovations. Maintain and reconcile project accounts, ensuring accuracy and alignment with financial plans. Manage the rate review process, setting fee projections and developing forecast models. Serving as the divisional liaison for student-related budget matters, collaborating with Auxiliary Services Association (ASA), Graduate Student Organization (GSO), and Undergraduate Student Government (USG) to ensure effective financial planning and resource allocation. Provide guidance to the fiscal agents on managing internal expenses, tracking expenditures, and monitoring account balances to ensure compliance with SUNY and university policies and procedures.

Professional Development And Committee Involvement

  • Participates in opportunities that promote their learning, growth, and development (i.e., classes, training, committees, webinars). Contributes to the Division of Student Affairs and Stony Brook University by attending and/or supporting events, activities, and programs sponsored by areas within and outside the Office of Student Life (i.e., campus-wide traditions, events, programs). Other duties or projects as assigned as appropriate to rank and departmental mission. Evening and weekend work will be required at times.

Special Notes

This is a full-time appointment. FLSA Exempt position, not eligible for the overtime provisions of the FLSA. Minimum salary threshold must be met to maintain FLSA exemption.

In addition to the employee's base salary, this position is eligible for $3,400 UUP annual location pay, paid biweekly.

Essential Position: This has been designated as an essential position based on the duties of the job and the functions performed. Positions that are designated as such may be required to report to work/remain at work even if classes are canceled, and the campus is working on limited operations in an emergency.
