Summary:
The Even Coordinator upholds Ocean Investments, LLC’s company Core Values, Vision and Mission. They are expected to provide personalized service to clients by assisting in the plan, design, and production of various weddings and events.
Essential Duties and Responsibilities: Include the following other duties may be assigned.
- Develops a complete understanding of all facets of events (i.e. logistics, timeline, etc.)
- Assist in the planning, designing, and production of all internal and client events
- Make all relevant arrangements for events within budget (i.e. venue, scheduling, entertainment, contracts, logistics, collecting payments in a timely manner, etc.)
- Handle day-to-day administration of events and programs
- Manage event set-up, break down, and follow up processes
- Coordinate internal and external meetings; create, prepare and distribute relevant documents including financial reports and meeting minutes
- Coordinate and monitor event timelines to ensure deadlines are met
- Anticipate and plan for any potential set backs
- Coordinate and manage vendors and partner relationships
- Coordinate on-site staffing and event-day operations
- Maintain updated on current trends and maintaining a working knowledge of event planning
- Other duties as assigned
Education and Experience:
- High school diploma or general education degree (GED) required
- Bachelor’s degree in hospitality, communications, or equivalent is preferred, but not required
- 1 – 2 years of event coordination experience is preferred but not required
Skills and Qualifications:
- Excellent communications, interpersonal, leadership and influence skills
- Excellent organizational and multi-tasking skills
- Strong customer service skills
- Proficient on Microsoft Office including Microsoft Word, Excel, and Powerpoint
- Familiar with Adobe Photoshop, Illustrator, and/or InDesign
- Internet-savvy with online research skills
