Job Responsibilities:
- Referral Management
- Coordinate and process incoming referrals for speech and occupational therapy services.
- Schedule initial evaluations and follow up scheduling after completion of evaluations.
- Communicate with patients regarding appointment details and necessary documentation.
- Authorizations:
- Obtain and maintain authorizations for services
- Ensure all referral and authorization documentation is compliant with insurance provider protocols.
- Patient Communication:
- Serve as the primary point of contact for patients regarding their therapy referral status, appointment scheduling, and any needed paperwork.
- Records Keeping and Documentation:
- Maintain accurate and up-to-date records of all referrals, appointment schedules, and patient information in our electronic health records (EHR) system.
- Ensure compliance with HIPAA regulations to safeguard patient privacy and confidentiality.
- Collaboration & Coordination:
- Act as a liaison between the clinical team, referring physicians, and specialists to ensure the smooth coordination of therapy services.
- Assist in resolving any issues or challenges that may arise during the referral process.
- Front Desk Duties & Float:
- Front desk responsibilities one day per week on Fridays, including answering phones, scheduling appointments, checking in patients, collecting payments, and handling administrative tasks
- Be available to float to front desk coverage when needed at all three clinics, ensuring continuity of clinic operations.
- Community Outreach & Relationship Building:
- Conduct 2-3 community visits per month to local pediatrician offices and other relevant healthcare providers.
- Build and maintain strong relationships with referral coordinators at these offices to market the services offered at Sunbreak Therapy Services and encourage the sending of appropriate referrals.
- Actively promote the clinic’s services and foster collaborative partnerships within the community.
- Administrative Support:
- Provide administrative support to the clinic team, including assisting with patient intake, preparing patient records, and handling phone calls and emails related to referrals.
- Ensure that all necessary intake forms and assessments are completed before a patient’s initial appointment.
Qualifications:
- High school diploma or equivalent required, associate’s or bachelor’s degree in healthcare administration, medical office, or a related field preferred.
- At least 1-2 years of experience in a healthcare setting, preferably in a clinic or therapy-based environment.
- Familiarity with speech and occupational therapy services and basic understanding of medical terminology.
- Experience with obtaining authorizations and collaborating with insurance companies, along with a solid understanding of insurance benefits.
- Proficient in using Electronic Health Records (EHR) systems, with a strong preference for experience with WebPT.
- Proficient with Google Drive and MS Office.
- Proven ability to thrive in a fast-paced environment while effectively managing multiple priorities.
- Excellent interpersonal skills with the ability to build strong relationships with patients, providers, staff, and management. Outstanding customer service skills, both in person and over the phone.
- Excellent organization skills with the ability to manage multiple tasks simultaneously.

- Must have reliable transportation for community visits.
Preferred Skills:
- Previous experience working in a pediatric or therapy-based clinic
- Bilingual (Spanish or other languages) is a plus.
Job Type: Full-time
Pay: $22.00 - $25.00 per hour
Expected hours: 32 – 40 per week
