The Superior Court of Contra Costa County is conducting an open recruitment to fill an Office Assistant – Confidential position. The incumbent in this classification will perform a wide variety of general administrative and clerical duties in support of the Court Executive Office.

An eligibility list will be established as a result of this recruitment.The individual appointed to this position must be a self-starter, able to work well with others, as well as work independently with little or no supervision, and possess good interpersonal and oral communication skills. Regular and punctual attendance is essential.
Duties of the Office Assistant – Confidential may include, but are not limited to:
- Serve as the Receptionist for the Court Executive Office and Assistant to the Grand Jury. Duties include screen and direct calls, take messages, greet and direct visitors to appropriate subject-matter experts or departments, provide information, and assist with making appointments;
- Receive and assist with processing documents directed to the Court Executive Office and Grand Jury (i.e., subpoenas, comment cards, complaints and public information requests);
- Coordinate Court Judicial Internship Program;
- Assist in coordination the Judicial Books Program;
- Perform clerical duties such as filing, copying, collating, assembling reports and documents and processing mail;
- Prepare and maintain records and files related to assigned duties;
- Coordinate ordering and receiving office supplies, printing services and express mail services;
- Assist with coordinating meetings and events as assigned;
- Prepare, type and proofread a variety of documents (e.g., correspondence, memoranda, reports, forms, spreadsheets, charts and newsletter) from instructions or drafts;
- Collect, compile and verify data for accuracy;
- Coordinate the reservation of conference rooms, conference lines, and video conference;
- Process Court ID badges for active Contra Costa Bar members;
- Coordinate the repair and maintenance of office equipment; and
- Other related duties as assigned.
Physical Requirements include, but are not limited to the following: - Occasional moving, lifting and carrying of objects weighing up to 30 lbs.;
- Reaching above and below shoulders to move or manipulate objects; and
- Frequent bending, stopping, or squatting.
Knowledge of:
- Establishment and maintenance of filing and information retrieval systems;
- Basic mathematics and statistics;
- Personal computers and standard software applications;
- Basic filing and financial record keeping systems; and
- Correct punctuation, grammar, spelling and proper business communication practices.
Ability to:
- Communicate clearly and concisely, both orally and in writing;
- Perform a wide variety of clerical support work;
- Multi-task, organize, and prioritize work assignments and produce a thorough and accurate work product;
- Tactfully and courteously answer questions from judicial officers, court employees and the public;
- Appropriately handle and maintain confidential or sensitive information;
- Understand, interpret, explain, and apply a variety of policies, rules, procedures, and regulations;
- Gather, organize, and present a variety of data and information;
- Quickly and accurately enter data into a computer system;
- Accurately set up, monitor, and maintain basic financial records;
- Make mathematical calculations necessary to carry out assigned functions;
- Establish and maintain cooperative working relationships with internal and external customers;
- Use a personal computer and software, including word processing, spreadsheet, database, and other job-related applications and systems; and
- Learn and apply court policies, procedures, documents, and terminology affecting assigned functions.
Minimum Qualifications:
- Possession of a high school diploma or equivalent;
- Possession of a valid California driver's license; and
- A minimum of two (2) years clerical experience in a professional office setting, preferably in support of administration or finance departments.

GENERAL INFORMATION
Conditions of Employment
Successful completion of fingerprint and a criminal record background check is required prior to appointment and is a condition of employment.
Because the Court operates in multiple branches, the employee may be required to travel to other court locations, and possession of a valid California driver’s licenses is therefore required. All employees of the court who operate a vehicle on court business must certify they possess a valid California Driver’s License and required levels of automobile insurance.
Convictions
Felony and misdemeanor convictions MAY BE subject to disqualification of employment with the court. The court will assess the nature and gravity of the offense, the time that has elapsed since the offense was committed, and the nature of the job duties to be performed.
Employment Eligibility
In accordance with the Immigration Reform and Control Act of 1986, all persons hired after November 6, 1986, are required to present to the Court, at the time of appointment, original documents which show satisfactory proof of: (1) identity and (2) U.S. Citizenship or a legal authorization to work in the United States.
