As an Executive Assistant, you will be critical in helping your CEO drive organizational success by removing obstacles and helping them focus on high-impact activities. You will also provide support to others on the leadership team.
While this is a behind-the-scenes position, the impact of a successful person in this role will be felt throughout the organization. We will provide you variety and clarity without micromanagement.
Responsibilities:
They will vary, but some of the things you can expect to see in your day to day are:
- Ensures that office is up and running each day from 8:00 am – 4:30 pm
- Manages office environment efficiently - Provides a welcoming atmosphere and superior service to enhance the client experience
- Responds to incoming emails and answers phone with multiple lines in a professional manner to ensure client requests are met in a timely fashion
- Executive assistant to business owners and assists coworkers to enhance their productivity
- Tracks tasks and action items in the client contact database
- Assists with marketing initiatives
- Plans and organizes company and client events and client appreciation gifts
- Finalizes portfolio review and client meeting materials
- Manages office calendar
- Arranges travel itineraries and non-business events for business owner(s)
- Executes project-related tasks to contribute to the firm’s development
- Owns the accountability chart, ensuring the right people are in the right seats.
- Manages hiring and vetting of potential candidates.
- Takes over day-to-day operations, acting as the primary manager of people and processes.
- Other duties as assigned.
Requirements:
- Client contact database maintenance and task management skills
- Proficiency with Microsoft Excel, Word, Outlook, PowerPoint and Adobe PDF
- Ability to improvise and proactively assist in client requests or firm tasks
- High communication skills (written and verbal)
- Above average organizational skills
- Ability to multi-task and organize workflow
- This position requires candidates to live within a 45-mile radius of our office location. This is to ensure that the employee can reliably commute and meet the job’s operational needs.
