Essential Duties/Responsibilities:
Order Queue Management & Fulfillment Support
- Own the order queue to ensure the fulfillment team has the necessary details to pick, embroider, and ship orders, managing this through order status updates.
- Through ownership of the order queue details, act as the liaison between the operations team and sales teams – ensuring that orders are ready to fulfill upon their start date arriving
- Compile and distribute a weekly unapproved order list to the Sales Team to drive progress on pending approvals.
- Identify and highlight at-risk orders in the system and proactively communicate potential delays.
- Manage urgent and early shipment requests from the Sales Team, coordinating with the Fulfillment Team to expedite orders.
Custom Process Execution
- Verify incoming custom mock requests have all necessary and accurate information for the Design Team to process the mock.
- Work cross functionally with the Design Team to ensure all approved mocks are techpacked on time for batch submission monthly with the manufacturer.
- Maintain the custom order calendar and weekly queue export, communicating potential delays or delivery changes to sales reps.
- Facilitate weekly WIP (Work in Progress) meetings with our manufacturer to track production timelines and update the custom queue.
- Collaborate with third-party vendors for custom headwear as needed.
- Own and iterate on the mock typeform to drive accurate rep custom mock submissions
- Track mock status within Monday.com, our project management platform, to maintain accurate reporting and data insights on conversion.
Sales Team Support
- Handle daily account uploads and order edit requests submitted by the Sales Team.
- Work with internal teams to upload and manage logos within RepSpark, our order entry system.
- Assist in ordering fixtures and distributing sales collateral to keep regional sales territories up to date.
- Oversee the end-to-end execution of Microsites, from setup in RepSpark to order fulfillment, acting as the primary liaison between sales and warehouse teams.
- Support reps with administrative requests, including but not limited to W-9 forms, insurance documents, organization of resale certificates and vendor packet completion.
