What are the responsibilities and job description for the Event Coordinator - Catering and Special Events position at Sweet Baby Ray's & True Cuisine Catering?
Catering and off premise event coordination including project management and administrative tasks directly related to the overall support of assigned Catering Sales and Event Consultant(s) as well as the Director of Sales. Tasks may include business development, event proposal and contract generation, and acting in the respect of a successful communication liaison between external contacts (venues, vendors, clients) and internal contacts (event consultant and the SBR operations and culinary teams) for all event related details.
JOB DUTIES
- Primary Support for Catering and Events Sales Consultant(s)
- Support SBR’s DSP Program and act as the primary facilitator of order entry for DSP events.
- Conducts research to find special products and services that may be needed for special events.
- Assists in developing menus, client proposals and/or creative concepts for special events.
- Works with subcontractors to obtain quotations, communicate status, place orders, and vendor cost vs retail price reconciliation.
- Assists in the preparation of and manages event related proposals and contracts that offer solutions to clients’ needs.
- Creates BEO’s, purchase orders, production schedules, timelines, floorplans, run of show, related documentation such as waivers, tasting photos, COI, venue information and more and ensures that all information is linked to events
- Assists clients by facilitating communication, providing information, and servicing their needs in conjunction with the Event Sales Consultant
- Acts as the communication liaison between event consultants, clients, culinary, operations & production teams to professionally execute each event.
- Attends, participates in, and takes notes at internal and external operations and sales and client meetings, necessary for the coordination of events and overall understanding of client and consultant expectations.
- Occasionally participates in event production on-site, assisting with the physical set up of décor, food and beverage, and management of production details including interacting with clients, vendors, venue and event staff
- Pursues sales opportunities with potential accounts and venues and completes projects as assigned by their assigned Event Consultant by providing information and ideas, quotations, and helping in confirming the business.
The Event Coordinator - Catering and Special Events activities are expected to be carried out without direct supervision and with timely communication
- Must be able to multi-task, and support multiple requests
- Ability to work well with internal and external participants is essential
- Must communicate clearly and effectively with staff, managers and clients
- Must be proficient in the use of technology

Job Type: Full-time
Pay: $19.50 - $22.00 per hour
