Job Summary:

The Information Services Specialist is responsible for supporting the firm's Records Management functions and providing basic information technology (IT) support. This customer service-focused role involves managing physical and electronic records, troubleshooting file location issues, and assisting with office-based technology needs. The specialist will primarily work from one office location but will provide support to an additional regional office on a scheduled or as-needed basis.

Key Responsibilities:

Records Management:

  • Maintain an electronic inventory of physical records through scheduled rounds and as needed.
  • Identify and correct non-barcoded files.
  • Assist with troubleshooting file information or location issues in the records management system.
  • Receive, document, and appropriately distribute inbound records materials.
  • Prepare and pack records for shipment as required.
  • Provide support for records retention tasks and ensure compliance with records policies and procedures.
  • Assist with file moves and office organization.

Information Technology Support:

  • Provide technical assistance for office-based technology, including conference room setups, laptop connections, and monitors/projectors.
  • Deliver and set up computer equipment and peripherals in offices and conference rooms.
  • Scan and inventory electronic assets.
  • Assist with troubleshooting printers, scanners, and other office technology.
  • Support the redeployment and updating of computer equipment.
  • Ship and receive technology equipment as needed.

Minimum Education & Experience Requirements:

  • High school diploma or equivalent.
  • 1-3 years of experience in a professional technology environment.
  • Proficiency in Microsoft Office Suite (Outlook, Word, Excel).
  • Demonstrated ability to learn new technologies and applications.

Special Requirements:

  • Must be able to travel between regional office locations as needed.
  • Ability to lift up to 25 lbs regularly.
  • Ability to stand for over 75% of the workday.

Knowledge, Skills, and Abilities:

  • Strong customer service orientation and problem-solving skills.
  • Ability to work independently and meet deadlines in a multi-tasking environment.
  • Effective communication and organizational skills.
  • Familiarity with records management best practices and IT troubleshooting techniques.

Additional Desired Characteristics:

  • Experience working in a law firm or professional services environment.
  • Knowledge of records retention policies and compliance.

Work Environment:

  • Hybrid work schedule with travel to regional offices as needed.
  • Office setting with moderate physical demands, including standing and lifting.

Job Type: Full-time

Pay: $55,000.00 - $65,000.00 per year

Schedule:

  • 8 hour shift

Work Location: Hybrid remote in Miami, FL 33122

Salary : $55,000 - $65,000
