Job Summary:
The Information Services Specialist is responsible for supporting the firm's Records Management functions and providing basic information technology (IT) support. This customer service-focused role involves managing physical and electronic records, troubleshooting file location issues, and assisting with office-based technology needs. The specialist will primarily work from one office location but will provide support to an additional regional office on a scheduled or as-needed basis.
Key Responsibilities:
Records Management:
- Maintain an electronic inventory of physical records through scheduled rounds and as needed.
- Identify and correct non-barcoded files.
- Assist with troubleshooting file information or location issues in the records management system.
- Receive, document, and appropriately distribute inbound records materials.
- Prepare and pack records for shipment as required.
- Provide support for records retention tasks and ensure compliance with records policies and procedures.
- Assist with file moves and office organization.
Information Technology Support:
- Provide technical assistance for office-based technology, including conference room setups, laptop connections, and monitors/projectors.
- Deliver and set up computer equipment and peripherals in offices and conference rooms.
- Scan and inventory electronic assets.
- Assist with troubleshooting printers, scanners, and other office technology.
- Support the redeployment and updating of computer equipment.
- Ship and receive technology equipment as needed.
Minimum Education & Experience Requirements:
- High school diploma or equivalent.
- 1-3 years of experience in a professional technology environment.
- Proficiency in Microsoft Office Suite (Outlook, Word, Excel).
- Demonstrated ability to learn new technologies and applications.
Special Requirements:
- Must be able to travel between regional office locations as needed.
- Ability to lift up to 25 lbs regularly.
- Ability to stand for over 75% of the workday.
Knowledge, Skills, and Abilities:
- Strong customer service orientation and problem-solving skills.
- Ability to work independently and meet deadlines in a multi-tasking environment.
- Effective communication and organizational skills.
- Familiarity with records management best practices and IT troubleshooting techniques.
