Position Title: Accounts Payable & Payroll Specialist
Accountability: Director of Finance
Classification: F/T, Hourly, Non-Exempt
Wage: $25-$27 per hour
JOB SUMMARY:
As a Finance Assistant with Payroll Responsibilities, you will be a vital member of our finance team, responsible for assisting in various financial tasks as well as handling the payroll function.
DUTIES / RESPONSIBILITIES:
Payroll
- Manage payroll process, including collecting and verifying timesheets, calculating wages, salaries, bonuses, and overtime accurately. Ensure compliance with company policies, employment laws, and taxation regulations.
- Safeguard sensitive payroll data and maintain confidentiality.
- Address payroll-related inquiries from employees promptly and resolve any discrepancies or issues that may arise.
- Ensure adherence to payroll-related regulations, tax laws, and company policies Provide support to the finance team in processing invoices, payments, reconciliations, check processing, and other projects as needed.
- Collaborate with HR and other departments to ensure seamless coordination of payroll information and resolve any interdepartmental payroll-related issues.
Accounts Payable
- Receive invoices for 3 entities, match with PO’s and enter ensuring proper coding
- Work with construction team when needed to answer questions
- Process checks, collate for signing and prep for mailing and file
- Manage document filing system and retention compliance
- Assist with document gathering for billings for Homeowner Services grants, SHOP, AIP and other grants as directed by Senior Accountants.
- Review and process employee expense reports, ensuring compliance with company policies and verifying supporting documentation.
Cash
- Prepare Bank Deposits, electronically deposit, process and route.
Other Duties
- Backup for front desk
- Assist with the yearly audit
- Direct accounting volunteer when needed
- Other special projects as required
REQUIRED SKILLS / ABILITIES:
- Excellent verbal and written communication skills.
- Experience in payroll software, Microsoft Office Suite and accounting/finance software
- Working knowledge of MS Outlook and Office Suite (especially Word and Excel).
- Excellent organizational skills and attention to detail with the ability to multitask.
- Demonstrated capacity to create and maintain a welcoming environment for all staff members, volunteers and visitors.
- Ability to exercise good judgment and maintain confidentiality at all times.
- Ability to work independently as well as within a team.
EDUCATION AND EXPERIENCE:
- Associates degree in Accounting, or related field, preferred. Will consider commensurate experience.
PHYSICAL REQUIEMENTS
- Prolonged periods sitting at a desk and working on a computer.
- Must be able to lift up to 15 pounds at times.
