JOB DESCRIPTION:
The Change Order Facilitator is a support role that collaborates with the Operations and Estimating teams. This position initiates the change event process as jobs begin and reports directly to the Senior Estimator. The Facilitator is responsible for documenting any additional tasks requested by the owner or initiated through a construction change directive (CCD). Each job requires strict adherence to naming conventions and organization within the electronic job folder.
The successful Facilitator works closely with project teams and subcontractors to ensure all costs are accurately reflected, addressing any additional scope of work. This salaried position directly impacts the financial success of all projects by ensuring that documentation is completed promptly and accurately.
REQUIREMENTS:
- Detailed knowledge of project scope and superior negotiation skills.
- Ability to answer contractor inquiries and conduct research regarding scope of work.
- Advanced computer skills (Microsoft Office) with demonstrated experience in organizing electronic filing systems and utilizing customer-driven project management platforms.
- Ability to provide accurate and timely responses to all Track Via changes across the enterprise.
SKILLS:
- Understanding of client-driven software and periodic deliverables.
- Effective communication with Superintendents and Project Managers to prevent gaps in the operations process and support field teams to avoid delays.
- Ability to maintain and share relevant information to ensure timely approval of change events and CCDs.
- Excellent verbal and written communication skills, with strong organizational skills for document management and electronic folder maintenance.
KEY RESPONSIBILITIES:
- Change Order Management:
- Facilitate the identification, documentation, and approval of change orders.
- Ensure all change orders are processed according to company policies and project requirements.
- Track the status of change orders and keep management updated on progress and impact.
- Coordination and Communication:
- Act as the liaison between project teams, clients, and vendors regarding change orders.
- Schedule and facilitate meetings to discuss proposed changes and their implications.
- Communicate change order details and updates promptly to all relevant parties.
- Documentation and Reporting:
- Maintain accurate records of all change orders, including approvals, modifications, and implementation details.
- Prepare and present reports on change order status and impact to management.
- Risk Management:
- Identify potential risks associated with proposed changes and collaborate with project teams to mitigate them.
- Ensure that change orders do not negatively affect project timelines, budgets, or quality.
- Process Improvement:
- Evaluate the effectiveness of the change order process and recommend improvements.
- Stay informed about industry best practices and incorporate them into the change management process.
