Duties And Responsibilities
- Coordinate, track, and facilitate requirements between agencies for facility-related IT projects, including:
- Networking infrastructure (routers, switches, cabling, VLANs, AV, and Wi-Fi access points).
- Building systems integration (e.g., HVAC, lighting, and power management).
- Physical security systems, such as access control, surveillance cameras, and alarms.
- Audio-visual systems, such as conference room technologies, displays, and video conferencing.
- Enterprise print and fax.
- Maintain a detailed project statuses tracker for all Secretariat ongoing and upcoming facility-related projects and their priority.
- Coordinate facility-related IT projects across agencies within defined standards for facility planning and timeline considerations.
- Track associated ServiceNow tickets and equipment orders for delivery delays that can impact project timelines and ensure continued progress on tasks and initiatives.
- Monitor the status of ongoing activities, prerequisites, and address any roadblocks to ensure timely and budget-compliant deliverables.
- Become a subject matter expert (SME) and guide agencies working to implement on-prem IT systems and infrastructure.
- Provide regular communication between project team members and facilitate collaboration among IT teams, facility managers, and stakeholders.
- Provide weekly executive summary and progress tracker reports to leadership.
- Work with our client to maintain a master site list of IT-supported locations and associated IT systems.
- Create process workflows, guides, and documentation.
- Provide direct project management (PM) services as assigned. Manage program scope, schedules, budgets, and resources to meet business and technical requirements with high customer satisfaction.
- Participate in contract discussions, including SLA negotiations and Statement of Work development.
- Work with customers to define projects, develop RFQs/RFRs, and navigate vendor selection, including evaluation and scoring criteria.
- Create and maintain project documentation, including charters, plans, schedules, and status reports.
- Lead project status meetings and stakeholder engagement with agency leadership, committees, and public representatives.
IT Infrastructure and Networking:
- Expertise in networking infrastructure (e.g., routers, switches, VLANs, Wi-Fi).
- Familiarity with building systems integration (e.g., HVAC, lighting, power).
- Knowledge of physical security systems (access control, surveillance, alarms).
- Proficiency in audio-visual systems and enterprise print/fax solutions.
- Strong understanding of project management methodologies (e.g., Agile, Waterfall).
- Experience in managing IT and facility-related projects.
- Budgeting, resource planning, and risk management principles.
- Familiarity with IT standards for facility planning.
- Knowledge of SLAs, contract negotiations, and vendor management.
- Working knowledge of ServiceNow or similar IT service management platforms.
- Knowledge of creating process workflows, guides, and documentation.
- Familiarity with RFQ/RFR processes and vendor selection criteria.
- Proficient in preparing and delivering executive summaries and progress reports. Skills

- Minimum 5-7 years of experience in IT project management with facility-related projects.
- Experience with ServiceNow or other ITSM platforms.
- Experience working in multi-agency or governmental environments is highly desirable.
