We are a commercial interior design/build firm based in a prime location in Ballston, Arlington, VA. Our office is in a Class A building near restaurants, retail stores, metro access, and multiple bus lines. With a team of approximately 12 professionals, we operate in a non-corporate, collaborative environment that encourages growth and learning.
Position Overview
We are seeking a Bookkeeper/Accountant to join our team. Our accounting department maintains accurate financial records and works closely with a CPA, ensuring a smooth transition for the new hire. This position offers significant growth opportunities, with the potential to expand beyond traditional bookkeeping duties based on the candidate’s initiative and skills.
Key Responsibilities
- Manage monthly draws, project budgets, and TIA tracking
- Handle payment submissions to landlords
- Reconcile monthly bank statements
- Process company expense reports
- Oversee payroll and Simple IRA contributions
- Generate and manage invoices through QuickBooks (including AIA G702 & G703 construction payment applications)
- Issue checks, ACH payments, and Positive Pay transactions
- Prepare and analyze P&L and cash flow reports
- Handle certificate of insurance requests and filing
- Coordinate preparation for insurance audits
- Manage collections (including phone follow-ups)
- Issue Procore change orders
- Prepare tax documents for CPA submission
- Set up and manage project timesheets in QuickBooks
- Maintain general ledger entries
- Collect and manage vendor payment documents (ACH instructions, W-9s, etc.)
- Oversee new hire paperwork and record notes for employee reviews
- Prepare lien waivers and maintain current business licenses
- Provide IT coordination, including support for company-issued devices
Requirements
- Expert/Proficient in QuickBooks Desktop Enterprise
- Strong understanding of accounting principles
- Excellent organizational and time management skills
- Ability to manage multiple projects with minimal supervision
- Strong written and verbal communication skills
- Self-motivated and able to work in a collaborative team environment
- High attention to detail and accuracy
- Comfortable working with both office and field staff
- Creative problem-solving skills beyond the accounting department
- Notary certification or willingness to obtain one

Work Schedule
- Typical office hours: 9:00 AM – 6:00 PM
- Limited overtime required. We are a collaborative environment and pitch in when needed.
