Elementary School Bookkeeper Job Description
SUMMARY: To ensure the smooth and efficient operation of the school office so that the maximum positive impact on the education of students can be realized. Implements appropriate laws, policies, procedures, and regulations of financial accountability related to school district financial functions. Audits and monitors all accounts regularly to ensure compliance with such laws, policies, procedures, and regulations.
Duties of Bookkeeper:
- Determines that all necessary financial records are maintained in accordance with generally accepted accounting principles, federal and state laws, State Department of Education regulations and suggestions by auditors.
- Compiles and analyzes financial information to prepare entries to accounts, such as general ledger accounts, documenting business transactions.
- Prepares purchase orders, receipts and deposits and prepares reports to substantiate individual transactions.
- Collects invoices, processes payments and produces all corresponding documents.
- Reconciles bank statements each month.
- Handles all financial processes from various sources such as clubs, classes, and other activities.
- Prepares reconciliation reports to be sent to the chief financial officer monthly.
- Prepares financial records for the end of the fiscal year. Cooperates with auditors and provides information as directed in auditing the financial records.
- Manages the school office operations including but not limited to ordering supplies, copies of forms, and maintaining operation and leasing of all copiers.
- Advising teachers and sponsors on fundraising activities, receiving funds for activities, and accounting policies and procedures.
- Preparation of yearly budget for all activities.
- Assisting teachers with spending Instructional Funds.
- Assisting the principal with any faculty or school event as needed
- Performs other such duties as required or assigned by the principal
- Travel to and from the board office daily to receive and distribute internal mail.
- Travel to and from the bank daily to make deposits.
