Key Responsibilities:
- Manage front desk operations, including answering incoming calls and assisting clients.
- Schedule and confirm client appointments, ensuring all bookings are accurately entered into our system.
- Verify and input client details into RightWay (tax software), including necessary tax and banking information.
- Organize and maintain client records, ensuring all required documents are uploaded and ready for review.
- Prepare appointment folders for the next day’s confirmation calls.
- Review and address notes for each client’s appointment, ensuring accuracy and completeness.
- Assist with general administrative tasks, including data entry and maintaining organized records.
- Collaborate with team members to ensure efficient workflow and communication.
- Provide personal assistant support to executives as needed, handling various administrative tasks.
Qualifications & Skills:
- Previous experience as an Administrative Assistant, Office Manager, or in a customer service role is preferred.
- Strong time management skills with the ability to prioritize tasks effectively.
- Excellent customer service and communication skills with a professional demeanor.
- Proficiency in Microsoft Office (Word, Excel, Outlook) and other office management systems.
- Familiarity with RightWay tax software is a plus but not required—training will be provided.
- Ability to work independently and as part of a team in a fast-paced environment.
- Strong attention to detail and problem-solving abilities.
