Job Overview
The Office Generalist helps manage daily office tasks and assist company employees with whatever is needed to boost productivity. This position will be tasked with helping organize and run the administrative tasks related to creating job packets for our crews and assisting with the billing process.
Essential Duties and Responsibilities
- Manage the process of entering locate requests into various 811 systems.
- Work closely with managers, project supervisors, and foreman to create job packets.
- Maintain locates using various MS platforms, mapping systems, etc.
- Operates proprietary billing systems such as: ORCA, ACAS, BidMaster, Varrasett, WIN-QT, PINCS – existing knowledge of any of these systems is highly desired.
- Performs accounting, customer service, and organizational tasks to promote timely and accurate financial transactions.
- Collaborates with customers, billing team, subcontractors, third-party providers, and other stakeholders to resolve billing inconsistencies/errors.
- Creates invoices and billing materials to be sent directly to customers.
- Inputs payment history, upcoming payment information, or other financial data into individual accounts.
- Informs and manages missed or upcoming payment deadlines.
- Calculates and tracks various company financial statements.
- Assisting the fleet department with registrations and labels
- Excellent oral and written communication skills.
- Ability to interact with personnel and external customers.
- Detail-oriented with the ability to handle multiple tasks at one time.
- Proficiency in proofreading, typing, and maintaining accurate records.
- Ability to coordinate projects effectively and prioritize tasks accordingly.
- 1 years of experience in Billing related role
- Basic computer operation and data entry skills.
- Experience reading prints and billing for an underground utility company or similar industry (preferred)
