Job Responsibilities
Job Purpose :
The Administrative Assistant will report to the Vice President of Student Services. This position is responsible for performing complex administrative functions to assist the VP in carrying out his / her duties. This role involves managing schedules, coordinating meetings, and facilitating communication within the department and across the institution. The Administrative Assistant is organized, detail-oriented, and capable of handling multiple tasks in a fast-paced environment.
Job Functions :
- Provide confidential administrative support to Vice President of Student Services using considerable judgment and discretion. Manage the Vice President's calendar, including scheduling appointments, meetings, and travel arrangements. Serve as a point of contact between the VP, staff, students, and external stakeholders. Draft and edit correspondence, reports, and presentations. Maintain and organize departmental records and databases, ensuring accuracy and confidentiality.
- Assist in tracking departmental budgets and expenditures, preparing reports as needed. Serve as the liaison with Business Office staff regarding all travel, procurement, and reimbursement for the Student Services division.
- Organize and prepare materials for meetings, including agendas, minutes, and follow-up action items. Assist in the coordination and execution of departmental projects and initiatives, ensuring deadlines are met. Ensure the office runs smoothly by managing supplies, equipment, and general office procedures.
- Serve, as requested by the Vice President, as designated representative on various College Committees. Coordinate, implement, and provide support for a vaiety of unique functions, programs, and / or special events, including graduation, under the supervision of the Vice President. Lead the coordination of professional development activities for the Student Services division.
- As requested by the Vice President, provide confidential support related to student complaints, student conduct, and Title IX cases.
- Assist in updating all handbooks, website pages, procedures, and publications under the purview of the Vice President. Other duties as assigned.
Minimum and Additional Requirements
A high school diploma and work experience that is directly related to the area of employment.
Preferred Qualifications
Preferred : A bachelor's degree and one (1) year related work experience, or an Associate Degree and three (3) years related work experience.
