Roles and Responsibilities
- Generate accurate invoices for equipment rentals, services, and deposits based on rental agreements and contracts.
- Receive and process payments for equipment rentals, including checks, credit card payments, wire transfers, and other payment methods.
- Apply payments promptly to customer accounts, ensuring proper allocation to rental charges, deposits, and fees.
- Reconcile customer accounts regularly, ensuring that all payments are correctly recorded and applied to outstanding invoices.
- Resolve discrepancies between rental charges, customer payments, and account balances in a timely manner.
- Maintain up-to-date and accurate customer account records, tracking payments, outstanding balances, and deposits.
- Provide customer support regarding payment inquiries, account balances, and rental billing issues.
- Monitor overdue accounts and follow up with customers to ensure timely payment of outstanding invoices.
- Issue reminders, payment notices, and collections letters to customers with past-due balances.
- Work with customers to set up payment plans or discuss alternative payment arrangements when necessary.
- Generate weekly, monthly, and quarterly accounts receivable reports, including aging reports and outstanding balances.
- Provide insights into collection trends, accounts at risk, and aging receivables to management.
- Maintain clear and organized documentation of all payment transactions, correspondence, and customer agreements.
