Telspace is looking for a non-clinical case manager to join our team supporting the Wyoming National Guard at Raper Armory, 5410 Bishop Blvd, Cheyenne, Wyoming. This position plays a key role in ensuring the medical readiness of Soldiers by managing administrative casework, tracking medical records, and coordinating Soldier healthcare processes.
Schedule:
Phoenix Friday Schedule: This position follows a compressed schedule of nine-hour workdays, with every other Friday counted as an 8-hour day off.
Required to work one weekend per month (Saturday and Sunday) from as early as 0600 and as late as 2200 each day to support Physical Health Assessments. These dates will be provided at least 30 days in advance of the weekend duty.
Telework will not be the primary method of work; however, occasional telework may be considered for a specific purpose.
Responsibilities
· Perform data entry into MHS-Genesis, MODS, MEDCHART, PRT, DenClass, and other WYARNG-specific databases based on individual Soldier medical case requirements.
· Scan, file, and track digital and hard-copy Soldier Treatment Records (STR).
· Initiate, document, and follow up on Soldier profiling actions and treatment requirements.
· Log and maintain records of Soldier contact (email, telephone, or in-person) and case updates in eCase and other medical systems.
· Initiate, process, and track medical board cases, including Medical Evaluation Board (MEB), Non-Duty Related Physical Evaluation Board (NDR-PEB), and MAR2 cases.
· Attend Periodic Health Assessment (PHA) events as required to support WYARNG units.
· Track Soldiers referred for medical tests or treatments to ensure compliance with provider orders.
· Contact Soldiers and medical/dental offices to obtain and review medical documentation for treatment planning.
· Support Soldiers in achieving medical readiness (MRC 1 or 2) by tracking and coordinating medical and dental appointments.
· Communicate with unit personnel to ensure Soldiers attend medical/dental appointments and submit required documentation.
· Request and track profile exams, medical evaluations, and audiology exams for PHAs and other medical requirements.
· Review and track abnormal health assessment lab results, coordinating necessary follow-up testing with Soldiers and their units.
· Maintain accurate documentation in eCase, ensuring all updates, appointments, lab results, and communications are recorded within one business day.
· Adhere to all relevant regulations and policies governing Individual Medical Readiness (IMR) and deployment, including AR 40-58, AR 40-66, AR 40-400, AR 40-501, AR 40-502, AR 600-8-4, AR 25-50, and WYARNG-specific SOPs.
· Coordinate care for Soldiers with Line of Duty (LOD) and non-LOD injuries, illnesses, or medical conditions to minimize non-deployable status time.
· Manage Soldier medical records (electronic and physical) in compliance with AR 40-66, HIPAA, the Privacy Act of 1974, and other applicable guidelines.
· Ensure proper documentation and ongoing management of Soldiers with temporary or permanent medical profiles in eCase.
· Provide updates to medical providers regarding Soldier medical/dental status, including necessary documentation for military medical determinations.
· Oversee Soldier care from initial notification until medical readiness is restored (MRC 1 or 2) or until administrative separation.
· Date-stamp, upload, and archive medical/dental documents in appropriate electronic applications.
· Submit case updates, medical documentation, and profile concerns to the Lead Case Manager (LCM), Contracting Officer’s Representative (COR), military personnel, or medical providers.
· Conduct monthly case reviews with the Deputy State Surgeon (DSS), Health Services Supervisor (HSS), and COR.
· Validate the accuracy of electronic and hard-copy STRs, ensuring proper documentation and record maintenance.
· Obtain Soldier signatures on release of information forms when required.
· Perform data entry and system actions within MEDCHART, MODS, and other military medical tracking systems.
· Review and update eCase entries for open cases at key milestones, including receipt of new documentation, changes in medical status, communication with medical authorities, or direct Soldier contact.
· Monitor and update Soldier medical readiness classification (MRC) status in MEDPROS.
· Retrieve, prepare, and manage Soldier records for medical board packets, pre-deployment medical readiness events, and case reviews.
· Track and manage medical and dental appointments, coordinating reminders and attendance verification with Soldiers and unit personnel.
· Review and act on MEDPROS data prior to PHA events to ensure necessary medical actions are completed for Soldier readiness.
· Ensure proper disposition of STRs for Soldiers transferring, retiring, or separating from service.
· Provide supporting STR transfer documents to the COR within seven calendar days of the end of each month.
Qualifications
· A working knowledge of military dynamics and organizational management.
· Military experience or experience working with veteran or military programs (Preferred)
· Prior work in a National Guard, Reserve, or military medical setting is highly desirable.
· 1 year of administrative, medical records, or case management experience (Preferred)
· Experience with the following electronic data systems: MHS-Genesis, MODS, MEDCHART, and PRT (Preferred)
Security Requirements: This position requires a basic federal background check, known as a Tier 1 investigation, conducted by the Office of Personnel Management (OPM). You do not need an active security clearance, but you must be able to pass this background check to be eligible for the role.
Additional Information
This position is contingent upon contract award. We are actively pursuing this government contract and may extend contingent offers to qualified candidates in anticipation of an award decision in the coming weeks.
