About the Role

The Client Services Coordinator is a key member of our team, responsible for overseeing front desk operations, assisting clients, and managing day-to-day activities. You’ll also supervise employees, train new team members, and ensure smooth operations. This role is perfect for someone with strong leadership skills, excellent customer service abilities, and a heart for making a difference in children’s lives.

Key Responsibilities

Front Desk Management

  • Greet clients and visitors warmly, creating a welcoming environment.
  • Manage check-ins, check-outs, and program scheduling.
  • Handle phone calls, emails, and inquiries with professionalism.
  • Maintain accurate client records and ensure the front desk remains organized.

Client Support

  • Provide information about gym services, programs, and events.
  • Guide clients on navigating the sensory gym and its offerings.
  • Resolve client concerns and complaints promptly, ensuring satisfaction.
  • Customer Experience

  • Foster a positive, supportive atmosphere for clients and staff.
  • Monitor client satisfaction, collect feedback, and assist in implementing improvements.
  • Communicate updates or changes to gym services and programs.
  • Build strong relationships with clients, encouraging community and loyalty.
  • Employee Management

  • Supervise coaches and volunteers, ensuring excellent customer service.
  • Train new team members on daily procedures, policies, and standards.
  • Address employee concerns and foster a positive work environment.
  • Administrative Support

  • Process payments, memberships, and billing information.
  • Manage appointment reminders, cancellations, and schedule adjustments.
  • Prepare reports on client activity, employee performance, and operational issues.
  • Maintain inventory and supplies at the front desk.
  • Assist with promotional materials and social media content when needed.
  • Qualifications

  • Education : High school diploma or equivalent required; Associate’s or Bachelor’s degree in business, health, fitness, or a related field preferred.
  • Experience : Prior experience in customer service, administrative roles, or leadership, ideally in health, wellness, or fitness. Experience working with children with disabilities is a plus.
  • Skills :
  • Strong leadership and interpersonal abilities to motivate and manage a team.
  • Excellent organizational skills and multitasking capability.
  • Compassionate and empathetic, with experience working with diverse populations.
  • Strong communication skills (verbal and written).
  • Proficiency in Microsoft Office, Google Suite, and scheduling tools.
  • Familiarity with CRM systems and POS software.
  • Ability to handle sensitive information with discretion.
  • Physical Demands

  • Ability to sit or stand for extended periods during shifts.
  • Occasional light lifting and exposure to cleaning products.
  • Work Environment

  • This role operates in a sensory gym serving children with diverse sensory needs, requiring patience and a calm demeanor.
  • Flexibility in hours, including evenings and weekends, based on gym needs.
