Position Summary
The Procurement Coordinator is responsible for ordering, managing, and optimizing inventory across all divisions, ensuring that all supplies and parts are available when needed while controlling costs and reducing waste. This role involves inventory management, supplier negotiations, and implementing systems to minimize shrinkage and improve efficiency. The Procurement Coordinator will work to consolidate inventory, transition to a just-in-time (JIT) inventory methodology, and establish best practices for procurement and inventory control.

The Procurement Coordinator is responsible for ordering, managing, and optimizing inventory across all divisions, ensuring that all supplies and parts are available when needed while controlling costs and reducing waste. This role involves inventory management, supplier negotiations, and implementing systems to minimize shrinkage and improve efficiency. The Procurement Coordinator will work to consolidate inventory, transition to a just-in-time (JIT) inventory methodology, and establish best practices for procurement and inventory control.
Key Responsibilities
- Order and track all supplies and parts to ensure timely availability across all divisions.
- Conduct and manage quarterly inventory audits to maintain accurate records and prevent discrepancies.
- Implement inventory control systems to minimize shrinkage and improve accountability.
- Develop and execute strategies to consolidate inventory, reducing excess stock, and streamlining procurement processes.
- Transition supply line into a just-in-time (JIT) inventory methodology to optimize storage and reduce carrying costs.
- Negotiate pricing and contracts with suppliers, ensuring cost-effective procurement while maintaining quality and reliability.
- Collaborate with division leaders to forecast inventory needs and adjust procurement strategies accordingly.
- Monitor and analyze inventory trends, making recommendations for process improvements.
- Ensure compliance with company policies, safety regulations, and best practices in inventory management.
- Maintain accurate purchase orders, invoices, and supplier agreements, ensuring all records are up to date.
- Source & procure necessary parts & supplies for equipment service.
- Maintain accurate inventory of parts, ensuring availability & stock levels.
- Build & maintain relationships with suppliers & negotiate pricing & delivery.
- Track orders & deliveries ensuring timely receipt of parts.
- Maintain records of purchases & inventory transactions.
- Monitor procurement costs & identify opportunities for savings.
- Minimum of 5 years of experience in warehousing, procurement, or inventory management.
- Strong understanding of inventory control methodologies, including JIT inventory and inventory shrink reduction.
- Experience negotiating supplier contracts and pricing agreements.
- Proficiency in inventory management systems and procurement software.
- Strong analytical skills to assess inventory trends, cost efficiency, and forecasting needs.
- Excellent organizational and problem-solving skills, with the ability to implement process improvements.
- Strong communication and collaboration skills, working effectively with internal teams and external vendors.
- Ability to conduct physical inventory audits, manage stock transfers, and ensure accuracy in reporting.
- Proficient in Microsoft Office Suite (Excel, Word, Outlook) and other relevant software tools.
- Valid state driver’s license.
- Experience managing multi-location inventory systems. (preferred)
- Knowledge of procurement regulations and best practices in a fleet or transportation environment.
- Prior experience implementing JIT inventory systems in a multi-location operation.
- Strong background in cost analysis and supplier relationship management.
